Gap Medics serves a very specific niche market: We provide placements for aspiring medical students aged
16-25 to give them a first-hand insight into the work of hospital doctors in exciting locations around the
world.
Our dedication to providing well-organised placement and outstanding customer service in our own student
guesthouses in every destination has been the foundation of tremendous growth – from our launch in 2010
to 5,000 students undertaking our placements in 2016.
Maintaining consistently high standards of service alongside this growth is a considerable challenge, and
the reason we are seeking an exceptional new manager to develop our new programme in Kigali. Alongside
a new manager, Gap Medics also wants to recruit a Placement Coordinator, a Caterer and a Housekeeper
and a Night-Time Supervisor.

1.Programme Manager: Kigali Rwanda

A young, dynamic British company requires an ambitious, energetic, aspiring manager for the launch of
our new Kigali programme.
Your role as Programme Manager
You will take a very hands-on lead in a small team that must pull together to deliver a wide range of
services, often under considerable pressure.
About half of your time will be devoted to our hospital partnerships – building personal relationships with
doctors and other staff, briefing them about new students, planning and scheduling, and troubleshooting
day-to-day problems that arise when students are on placement. As a representative of Gap Medics, you
must be confident, highly professional and immaculately presented.
Your team will include a full time Caterer, a Housekeeper and a Night-time Student Supervisor, allowing
you to provide a comprehensive hospitality service with a friendly family feel and fun social atmosphere.
Again, you will be very hands-on, sharing everything from greeting students on arrival at the airport to
welcome briefings, organising barbecue nights and helping students through any problems they have.
As the administrative manager, you will also be responsible for budget and accounts preparation, handling
administration with hospitals and maintaining a very close day-to-day working relationship with the team
in our UK Head Office by phone and email.

More than anything, we are looking for candidates with the personality, confidence and ambition to fit this
role. We believe the role may appeal to:
 Hospitality managers or assistant managers with experience of managing small hotels or
guesthouses;
 Travel and tourism managers who have experience of managing large groups.

2.Placement Coordinator-Kigali Rwanda

Your role as Placement Coordinator
You will take a very hands-on role in a small team that must pull together to deliver a wide range of services,
often under considerable pressure.
Your time will be spent ensuring that every student has a clearly structured hospital placement with
effective mentoring that provides a minimum of 23 hours every week. This will be done through a formal
introduction between students and mentors from Gap Medics staff alongside daily monitoring to ensure
students are receiving an excellent placement experience.
This role will require you to build excellent relationships with hospital mentors and staff to ensure they are
fully aware of all aspects of the Gap Medics programme. You must be capable of resolving any issues that
arise whilst the students are on placement.
You will be responsible for ensuring that each student and mentor is fully supported by Gap Medics whilst
on placement. This also includes maintaining comprehensive notes on our online system and excellent
communication with your programme manager, to ensure issues are resolved promptly.
Other duties
Working as part of a small team, you will also be involved in other aspects of the Gap Medics programme;
this includes greeting the students at the airport and assisting in a local orientation of the town. You would
also be expected to help students to arrange their free time activities, to ensure they make the most of the
area in a safe and secure way.
Job sharing is an important part of working within the Gap Medics team and you may be expected at times
to assist in other roles; such as Night Supervisor and Assistant to the Caterer or Housekeeper.

role. We believe the right person for the role will have:
 Experience of leading large groups, or previous supervisory experience;
 A very organised and efficient person, capable of multitasking;
 Excellent communication and problem solving skills;
 Reasonable (ideally fluent) spoken English;
 Trustworthy and loyal, with excellent references from previous employers.

A Placement Coordinator must be flexible around the students working hours at the hospital. If you are
looking for a job that lets you plan your diary well in advance, go home at 5.30pm and have most weekends
off, this is not for you! If you’re looking for an adventure of a lifetime, working closely with senior doctors
and government officials, a huge challenge with a huge sense of reward and great scope for career
development, then perhaps it is.

3.Caterer: Kigali Rwanda

Your role as Caterer
You will take a very hands-on role in a small team that must pull together to deliver a wide range of services,
often under considerable pressure.
Your time will be spent ensuring that every student is provided with plenty of good, varied food and that
the cupboards are always fully stocked. As a representative of Gap Medics, you must be confident and
highly professional.
The Caterer is also a very important part of the customer-facing team, not to be confused with a behindthe-scenes
cook. It is important that our students see the Caterer as someone they can trust; they feel they
know and can ask for help and support. As the Caterer is normally around the kitchen and social areas, he
or she is likely to have a great deal of contact with students at the house.
The Caterer will also be responsible for budget and accounts preparation for all spending of catering
budgets. You will also be responsible for presenting weekly meal plans to the Programme Manager, which
must include vegetarian options.
Other duties
Being around the kitchen and social areas much of the day, the Caterer has an important role in general
student supervision.
The Caterer is also likely to job-share with the Housekeeper (because both are based at the house and have
peak work loads at different times).
Candidate profile and salary guidelines
More than anything, we are looking for candidates with the personality, confidence and ambition to fit this
role. We believe the right person for this role will have:
 Experience of professional catering with proven ability to lead food preparation for groups of up
to 50 people.
 An obvious passion for food with creative ideas for making our food interesting, varied and
delicious!
 Very friendly personality;
 Reasonable (ideally fluent) spoken English;
 Careful and professional approach to handling budgets and accounting for spending;
 Trustworthy and loyal, with excellent references from previous employers.
 Salary will be discussed at the interview stage and will depend on skills and experience.
Lifestyle implications
The Caterer must be willing to work split shifts and plan his or her own time around the needs of the
programme. For example, the Caterer may begin at 6am to prepare breakfast and not finish dinner service
until 8pm, but this does not mean working a solid 14-hour day! Rather, it should be possible to take a few
hours off during the day, returning for duty when necessary.

4.Housekeeper: Kigali Rwanda

Your role as Housekeeper
You will take a very hands-on role in a small team that must pull together to deliver a wide range of services,
often under considerable pressure.
Your time will be spent ensuring that the Gap Medics house is a safe, secure and comfortable place, where
students can relax and interact with each other. This will be done by maintaining high standards of
cleanliness throughout the house, and taking initiative to organise maintenance or repairs as the person
responsible for the up-keep of the house.
The Housekeeper will also be responsible for budget and accounts preparation for all spending of
housekeeping budgets.
Overall the housekeeper is directly responsible for all aspects of the house and social areas.
Other duties
Job sharing is an important aspect in a small team; therefore the Housekeeper will likely job-share with the
Caterer (because both are based at the house and have peak work loads at different times).
The housekeeper plays an important role in student supervision, as a constant presence in the house during



the day, it is important that you are a friendly and approachable person for the students to feel comfortable.

More than anything, we are looking for candidates with the personality, confidence and ambition to fit this
role. We believe the right person for this role will have;
 Experience of Housekeeping for a large property, such as hotel or guesthouse;
 Very friendly personality;
 Reasonable (ideally fluent) spoken English;
 Careful and professional approach to handling budgets and accounting for spending;
 Trustworthy and loyal, with excellent references from previous employers.
 Salary will be discussed at interview stage and will depend on skills and experience
Lifestyle implications
The busiest time for the housekeeper is over the weekend, when students depart and new students arrive,
therefore a willingness to work over the weekend is imperative. That is not to say you will work 7 days a
week, your time off is likely to be midweek.

5.Night-time Supervisor: Kigali Rwanda

Your role as Night-time Supervisor
You will take a very hands-on role in a small team that must pull together to deliver a wide range of services,
often under considerable pressure.
Your time will be spent ensuring that every student has helpful, friendly and professional support available
24 hours a day, for which you would be responsible in the evenings. As a representative of Gap Medics
you must be trustworthy and highly professional.
The Night-time Supervisor plays an important role in the Gap Medics team, you will need to be creative
and confident and be able to initiate and organise activities that promote group involvement and encourage
students to explore the local area in a safe and secure manner.
As the Night-time Supervisor you will be with the students the majority of their free time, so you must be
capable of developing good relationships with groups of students, so they feel comfortable asking you for
help and support on the programme. You will also be required to build close relationships with other
members of the staff team, reporting to the Programme Manager. Excellent communication skills will allow
you to be successful in this role.
Other duties
Once the students are sleeping during the night, the Night-time Supervisor would be expected to remain
alert and active around the house and assist with light housekeeping of the social areas, and to comply with
the 24 hours of support we provide.
Job sharing is an important aspect in a small team; therefore the Night-time Supervisor will remain on shift
until the Caterer begins at 6am, and assist the Caterer in breakfast preparations before they leave.

role. We believe the right person for the role will have:
 Experience of working with groups of young people;
 Very friendly and outgoing personality;
 Previous experience in a supervisory role;
 Reasonable (ideally fluent) spoken English;
 Trustworthy and loyal, with excellent references from previous employers.
 Salary will be discussed at the interview stage and will depend on skills and experience.
Lifestyle implications

The Night-time Supervisor must be willing to work from 7pm to 7am. Our promise to students includes
24-hour support, so the Night-time Supervisor must remain awake and alert in order to handle different
situations as they arise.
