Position: Finance Internee (2) 

AAR Background

ActionAid Rwanda (AAR) is an Affiliate Member of ActionAid International (AAI) – an anti-poverty agency working with poor, voiceless people, communities, and similar-minded partners worldwide.  ActionAid is a non-partisan, non-religious development organisation that has been working in Rwanda since 1982 to contribute towards eradication of poverty and injustices with a focus on tackling the root causes of poverty.

Currently, ActionAid Rwanda implements several activities in the areas of Agriculture, Education & Food security, Women’s Rights and Poverty Eradication from 7 Local Right Programs (LRPs) including Nyanza, Gisagara, Ruheru, Murundi, Gitesi, Muko and Shingiro LRPs.

AAR is seeking for applications from qualified candidates who will support its work in Finance/Administration department.  

Under the guidance and supervision of the mentioned units Leaders, the internees will be responsible of:

Finance Internees (2)

  • Ensure full compliance of financial processes and financial records with AAR and Donor rules, regulations, policies, and strategies.
  • Provide accounting and administrative support, focusing on proper control of the supporting documents for payments and financial reports for projects and program, payment execution.
  • Processing of financial documentation (vouchers, supporting documents, telephone invoices, etc.) and
  • Maintaining internal expenditures control system by ensuring that vouchers processed are matched and completed, transactions are correctly recorded and posted in SUN system, travel claims, monthly payment orders other entitlements are duly processed.
  • Provision of information for reports on financial status, procedures, exchange rates, costs and expenditures
  • Follow-up with suppliers   for information relating to payments.
  • Preparation of routine correspondence memoranda and reports in accordance with AAR objectives.
  • Extracting, inputting, copying, and filing data from various sources.
  • Maintenance of the proper filing system for financial records and documents.
  • Take Lead in filing in preparation for audit Using existing checklists, ensure that all required documents are available on the shared drive.
  • Keep a calendar of forthcoming reporting deadlines
  • Update the Assets list of the organization
  • Monitor the budget and appropriate coding while payment request are introduced
  • Assist in the preparation of the statutory contributions/returns
  • Prepare payment requests, Internal, Order requisitions and others as prescribed in AAIR’s current Policies when requested
  • Support in preparing administration function expense in line with AAIR Policies and Procedures.
  • Support controlling and ensuring that purchasing procedures are complied with and provide good value for money (VFM) to have cost efficient situation.
  • In charge, the bills are paid on time: House rent, phones, electricity, water and other AAR obligations.

Skills and Specifications

  • Knowledge of spreadsheet and other micro-offices software
  • Bachelor’s degree in finance and Accounting
  • Having a CCA or CPA certifications
  • Expertise in numbers and good math skills are very important
  • The interns must have knowledge of the basic principles and practices of accounting and

financial analysis

  • Must be able to collect, evaluate and interpret data, in both statistical and narrative form
  • Should be capable of preparing files and maintaining records and documentation
  • Should have good written and oral communication skills
  • Other skills required are related to problem solving, entering, and verifying data,
  • knowledge of computers, various software applications and standard office equipment

Program intern (1):

  • Support the implementation of Participatory Reflection and Review Processes (PRRP)
  • Develop the implementation plan, identify implementation needs, with a consultation to the Line Manager, communities, and District Authorities.
  • Assist in the day-to-day operations of team’s programs and setting up plans and ensuring timelines are met.
  • Participate and organize community functions (meetings, celebration etc) at the Sector level in consultation with the Line Manager.
  • Provide weekly, monthly, quarterly, and annual report and plans in line with AAR guidelines.
  • Ensure community participation and understanding of LRP activities at the Community level.
  • Identify advocacy issues within community, propose and design appropriate strategies to address them/link to AAR policy agenda
  • Monitor the implementation of all LRP activities on timely basis.
  • Participate in the collection and organization of any required data.
  • Prepare activity Concept notes and Terms of References
  • Support in funding concept Note and Project Proposal development
  • Compile best practices/ success stories, lessons learnt and case studies from the communities
  • Monitor the implementation of sponsorship activities eg Child message and profile collections; Photo updates; Query and complaints follow ups
  • Ensure compliance to SHEA and Safeguarding Policies
  • Ensure Feminist Leadership Principles are applied in all his/her actions

Skills and Specifications

  • Bachelor’s Degree in Social Sciences
  • Ability to facilitate in program planning, implementation, monitoring and evaluation.
  • Should be computer literate in word, excel and PowerPoint
  • Demonstrate problem solving skills
  • Ability to work under minimal supervision
  • Strong skills in networking with stakeholders at the district, sector and LRP level
