ROLE PROFILE

Title: Digital Festival Logistics Coordination Assistant

Reports to: Festival Coordinator

Location: Kigali, Rwanda

Nature of role: Fixed Term Contract – 4 months

Role Purpose: To contribute to the delivery of festival logistics of Hamwe 2020

ROLE OVERVIEW

The Digital Festival Logistics Coordination assistant will work with Hamwe team members and the festival partners, the successful candidates will play a key role in the delivery of festival logistics of Hamwe 2020

KEY RESPONSIBILITIES

  • Have an active role in event planning and implementation process, this includes supporting internal and external communications, documenting meetings and sessions, creating plannings and monitoring their implementation
  • Organize and maintain an efficient and effective filing system
  • Support Festival coordinator in the procurement process
  • Conduct surveys of stakeholders
  • Contribute to timekeeping, sessions quality control, reporting and suggest improvements
  • Perform other duties as required to maintain the smooth running of festival operations.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in a field relevant to event management and promotion is preferable
  • Experience supporting the coordination of events
  • Excellent written and verbal communication skills with the ability to communicate effectively in a wide range of stakeholder groups.

ROLE OVERVIEW

The global crisis caused by the novel coronavirus made us decide to move part of our activities online and will create adapted content. We are recruiting a team of researchers, writers and editors to support this transition

KEY RESPONSIBILITIES

  • Support the festival team in creating vibrant digital content (audio, video and written pieces)
  • Support Hamwe partners in adapting their content to Hamwe requirements. formats and platforms
  • Support the preparation of online public meetings and performances
  • Document panels, meetings, interviews, and other events
  • Support key steps of online content generation, like research, facts checking, quality control, editing in close collaboration with other members of the team
  • Interact with UGHE collaborators and provide them with the information and support they need to collaborate with Hamwe teams effectively
  • Contribute to UGHE reporting

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in a health-related field (with proven excellent writing skills). Bachelor’s degree in communication or journalism (with proven interest and knowledge in global health)
  • Strong research skills
  • High-level familiarity with the field of global health equity
  • Excellent writing skills in English with previous publications (book contribution, article, Op-Eds or others)

KEY RESPONSIBILITIES

  • Assist in the general operations of the digital festival as required day-to-day.
  • Solicit, gather, and contribute to the briefing, plans, participation forms and planning and technical documents for each activity of the festival.
  • Compile and maintain all information to create and update festival documentation and archive.
  • Support festival guests in the preparation of digital performances and other participants to ensure the best quality possible in terms of sound, lighting, timekeeping, and other key aspects of each festival event.
  • Contribute to social media such as Facebook and Twitter with the festival communication team.
  • Assist the festival team in tracking participation and event attendance.
  • Produce, update, and distribute schedules to all participants.
  • Contribute to the negotiation of contracts and work with relevant UGHE departments to ensure timely payments
  • Contribute to volunteer recruitment and ensure the efficient use of volunteers
  • Perform other duties as required to maintain the smooth running of festival operations.
  • Contribute to the festival reporting process.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in a field relevant to event management and promotion is preferable
  • Experience in coordinating operations of events, preferably digital events
  • Excellent written and verbal communication skills with the ability to communicate effectively in a wide range of stakeholder groups.

Safety & Security Manager at University of Global Health Equity (UGHE): (Deadline 6 September 2020

Position Overview
The Safety and Security Manager works under the direction of the Director of Campus Operations, to develop, implement, and operationalize a comprehensive safety and security program for UGHE. This program will have three areas of responsibility: Security, Safety, and Incident/Emergency Response. Initially, this position will focus primarily on the development and creation of the program including the implementation of systems, policies, and procedures. Once the program is established, this position will be the primary individual responsible for maintaining the program and acting as a liaison for students, staff, and guests. Additionally, this position will take a lead role during emergency disaster responses for the organization including the development of policies and procedures, and assuming a lead position during an actual event.

The Safety and Security Manager will be responsible for ensuring program priorities are clearly documented, organized, coordinated, and communicated.

Responsibilities

Program Development and Implementation (40%)

  • Act as the main liaison between UGHE, local law enforcement and safety officials, and the outsourced security firm
  • Implement a personnel tracking and communication system in order to provide knowledge of UGHE personnel on campus along with establishing a mechanism to communicate safety alerts.
  • Create a mechanism to collect and disseminate safety and security alert information from multiple sources in order to communicate to the UGHE community, including phone trees and email.
  • Develop a safety and security policy, safety/security guidelines, and other documentation/planning.
  • Establish and document processes and procedures for emergencies and disasters.

Program Operations and Monitoring (50%)

  • Monitor local risk context for developments or potential threats.
  • Conduct safety briefings and site security orientations for visitors to UGHE.
  • Facilitate program growth as the University matures and needs shift.
  • Ensure UGHE has appropriate info on all travelers—emergency contact, zika waivers, etc.
  • Take active coordination role during emergencies and drills
  • Act as an Incident Response Manager during events
  • Evaluate the performance of outsourced security services and management shortcomings as necessary
  • Maintain regular and effective communications with local law enforcement and safety officials.

Other Duties as Assigned (10%)

Qualifications

  • At least 5 or more years of NGO/nonprofit/education or relevant experience
  • Demonstrated program management skills, with the flexibility to adapt to diverse situations, while staying focused on and faithful to the overall strategy.
  • Ability to adapt to various cultures; tactful, mature, and flexible.
  • Excellent interpersonal, communication, facilitation, and presentation skills.
  • English and Kinyarwanda proficiency required; French knowledge optional.
  • Past experience serving in the Rwandan army or police force considered an added advantage.
  • Being from or residing in Burera District also considered an added advantage.
  • Demonstrated competency in strategic and organizational agility:  ability to create solutions and plans that link to organization’s values and vision; able to marshal resources (people, funding, material, support) to get things done through both formal and informal channels and operate across boundaries.
  • After-hours on-call availability to respond to emergency situations as they arise.
  • Commitment to social justice and health care equity
