School Management Department

What you will do

  • Work closely with a large group of Schools Supervisors in your territory to ensure that they are operating at the highest levels.
  • Work closely with the Training Manager to ensure feedback from the field is translated to effective training content, systems and processes which further empower Teachers and Headmasters to lead successful schools.
  • Empower Schools Supervisors to focus intensely on instructional leadership, including each teacher completing the scheduled lessons each day; on positive classroom and school management without corporal punishment; and school strength through retention, which is a sign of parents’ belief in the positive contribution of the school.
  • Provide management oversight to Schools Supervisors in your region or territory and ensure operating performance and instructional learning targets are met.
  • Provide coaching and mentoring to Schools Supervisors in your region to help develop their management skills and support achievement of their academy goals.
  • Regional Managers completely own (and therefore, are accountable for) the performance metrics of all of the schools in their territory, as measured by operational and instructional benchmarks.
  • This role requires a constant presence at the schools and close interaction with each School Head or School Administrator to ensure that there is continuous bi-directional communication and coaching.
  • In addition to interactions with schools, you will be expected to build close relationships with the local and state level government officials, the traditional and local community leaders, and Parents of the children in the school to promote the importance of education, garner support for the school and education ministry’s activities as it relates to their children and to keep a constant monitor on their feedback.
  • Must be ready to travel on a daily basis to schools in your region. The schools are situated in various communities across your territory to which you are assigned.

About the role

Each Supervisor is responsible for the professional development, including ongoing performance management of school staff. As a Supervisor, you are in schools each day, providing ongoing mentorship, specific performance feedback, and on-going group and personal training. In this role, you also engage with all stakeholders of the schools under your care, including government officials, parents, and community groups as may be required. Your role is the nexus of all that we do, ensuring the implementation and results of our overall programing, integrating school management, leadership & development of school staff, instructional design and technology. Using big data that provides a visibility into everyday teaching practices and school management, you work with school staff to improve performance – with the goal of student performance and character development in mind – and provide feedback on core programming to our design teams.

School Inspection

School Inspection is the auditing of our academy operations (facilities, materials & supplies, personnel and processes) against our set of standards and policies to ensure total compliance. The School Inspection department ensures all our schools are compliant with procedural requirements through frequent school observation visits and audits of academy operations. This team collects and audits data to provide valuable insights into critical operational issues that need to be addressed to ensure a consistent service level standard is achieved across each school. These insights or observations include identifying variances against data collected from other sources and used by other teams. As an organization that operates at scale, ensuring our set of standards are maintained across every single academy is integral to the success of our model.

About the role

School Inspection Associates are the eyes and ears of the organization. School Inspection Associates are part of an existing highly-trained quality monitoring team focusing on systematic academy-level monitoring. TheSchool Inspection Associate is driven, competitive, and always strives to win. The role requires someone who has a strict code of integrity. We are looking for an energetic and motivated individual willing to contribute his or her skills to the team to make the School Inspection team even more successful.

What you will do

  • Make daily visits to academies (following the route assigned by your management)
  •  Perform audits using smartphone, and report the information back to the Head Office
  • Work together with the Head Office to ensure that the academy management and monitoring systems and tools are well implemented and maintained as per RwandaEQUIP standards at individual  academies both by Academy Managers and teachers.
  • Identify both positive and negative issues related to RwandaEQUIP company policies, and provide valuable insights into critical business issues.
  • Ensure that academies are compliant with procedural requirements through quality control and audit checklists of academy operations and management tools, materials and processes
  • Expect to work Monday-Saturday and in some cases Sunday.
  • The new School Inspection Associate will join an existing highly-trained quality monitoring team focusing on systematic academy-level monitoring.
  • Troubleshoot issues while still at academies especially IT Assets
  • Carry a stock of IT assets to replace faulty devices (that the School Inspection Associate is unable to repair) at the academy following procedure provided by the IT department
  • Assist the Revenue Assurance department and the People Operations department in any investigation they would need field support on
  • Expect to work with new requests evolving within departments as stipulated by the company.

About the Role

The People Operations Team is responsible for all the touchpoints of managing the employee lifecycle, including but not limited to offer letters, contracts, benefits, performance management tools, and employee off-boarding with both local laws and company policies. People Operations uses data from employee lifecycle management to improve employee management and effectiveness, ensuring all components of the People Group are using data to drive decision-making. Effective programming within People Operations ensures that employees are seamlessly supported through their employment touchpoints, and that core employment structures and compensation strategies are used effectively to attract and retain high performing employees within the constraints of business operations.

The Officer, People Operations is responsible for supporting specific administrative, operational and quantitative tasks that contribute to attaining the above objectives of the People Operations Team. This role will report to the Manager, People Operations.

  • Separations Process: lead and “quarterback” separations processes, including department, asset, and financial handovers – involves IT, Admin, and Payroll Accountant
  • Onboarding Process: lead and “quarterback” teams from IT, Admin, etc. in ensuring that staff are successfully on boarded
  • Payroll Verification: work with Payroll Accountant to ensure that all contractors and employees are properly represented with the right deductions/additions, if any. Generate monthly report for managers on headcount
  • Staff Benefits: supporting staff with questions about health coverage, managing additions to coverage, dealing with other health coverage issues
  • Asset Management: ensure that all staff have the assets they need; deal with asset recovery processes and exchanges/one-off needs. Heavy interfacing with IT and Admin
  • Leave Management: assist employees with leave, generate monthly report for managers on leave balances
  • Disciplinary Procedures: work with the Manager, People Operations and  Director, People as needed on managing these procedures
  • Staff Documentation: ensuring that offer letters, contracts, probation confirmations, and change of status documents are appropriately handled.

Measurement & Evaluation

The Measurement and Evaluation team is housed within the Strategy group and collaborates across departments to ensure that schools are well-managed, teachers are teaching, and that our pupils are learning each and every day. We work alongside these groups and central office support staff to answer the core questions of “Is what we’re doing working?” and “How do we get better?” We blend quantitative analyses with qualitative field work to improve systems and processes, measure the outcomes of our efforts, and help translate the results to both internal and external stakeholders.

We work on a variety of projects, big and small; some are quick turnaround analyses while others require longer, more sustained efforts. One large-scale ongoing effort is performance management and building a sustainable learning loop into our systems. Another is revamping our quality assurance system to make the data collected more actionable and the entire system more effective. Examples of shorter-term projects include conducting efficacy studies, digging in on existing data to answer time-sensitive questions, and piloting new data collection efforts.

About the Role

We are seeking a full-time M&E Director to lead this team, someone eager to share their expertise and build upon a tradition of evaluation excellence at RwandaEQUIP.

The M&E Director will lead a team of analysts who conduct studies on multiple aspects of RwandaEQUIP’s operational and instructional performance. The data and analysis function at NewGlobe is expanding rapidly as we serve students in more schools and countries. The M&E Director will report jointly to the RwandaEQUIP Managing Director and NewGlobe’s Vice President of Measurement and Evaluation.

The M&E Director’s primary responsibility is to co-design, conduct, and deliver an annual evaluation report to the Rwandan Government. This report will estimate the impact of the RwandaEQUIP program on teaching and learning. In the first year, RwandaEQUIP M&E will also produce an interim report for the newly launched program.

The M&E Director’s responsibilities also include supporting the growth of our analysts as they work to develop and refine data collection tools, protocols, and visualizations. We view data and analytics as core to our ability to learn as an organization. In our effort to impact teaching and learning, we need to deliver high quality data to all RwandaEQUIP decision makers. The M&E Director will support all aspects of the analysts work, from technical review to project management to professional development to stakeholder concerns. In short, the director builds capacity among M&E staff, and in so doing, equips them to support RwandaEQUIP’s improvement.

The M&E Director must also be able to effectively work with people from diverse backgrounds, display significant emotional intelligence, and create a sense of calm in an often fast-moving environment.

What You Will Do

  • Direct the Execution of Research Studies. The M&E Director will work closely with the M&E team and the M&E Vice President to design and execute research studies. These responsibilities include, but are not limited to, ensuring reliable data collection, preparing and analyzing the data files, data visualization, writing and other modes of communications to disseminate the findings.
  • Direct M&E Analyst Personnel. The M&E Director will direct and coordinate M&E analyst personnel, instructing them on reporting priorities and providing oversight during report production. The M&E Director will support team members to ensure that they are correctly utilizing proper research methods and statistical models.
  • Develop plans and manage projects. This includes developing a work breakdown structure, creating a timeline, liaising with other departments to get the support you need, managing and motivating short-term staff members, figuring out how to get things done when things don’t go as planned, getting the data you need and getting it right, conducting analyses, framing the results, and answering any and all questions about your work.
  • Establish Data Reporting Protocols. The M&E Director is responsible to establish and enact data reporting protocols to ensure timely communications to relevant NewGlobe managers. The M&E Director will monitor current reporting targets and deliverables to ensure timely reporting.
  • Maintain Close Relationships with Quality Assurance Director and other key data owners across Rwanda Equip. The M&E Director will work closely with the QA Director to access and report quality assurance data.
  • Accommodate requests for quick analyses. Time-sensitive questions may come from NewGlobe’s VPs and C-Level Executives, and usually take anywhere from a few hours to a few days.  Oftentimes, you will need to direct your staff to use their best judgment in the face of imperfect data.
  • Identify Opportunities to Enhance Effectiveness and Efficiency. The M&E Director supports RwandaEQUIP’s ability to deliver a world class education by helping RwandaEQUIP managers use information for improvement. With limited resources, it is essential that the M&E Director prioritize high potential research and build efficiencies that strengthen the research and/or enable more research to be conducted.

What You Should Have

  • An advanced degree – in a relevant academic discipline, such as Economics, Policy, or Statistics.  
  • Strong experience using quantitative methods – At least 5 years of experience using quantitative methods in an academic or applied setting, such as being an analyst, research assistant, data manager, or consultant.
  • Analytical skills – A high level of proficiency with Excel Stata, SAS, or R.  Python or Power BI is a plus.  You’ve done a fair share of data cleaning, manipulation, and analysis. A recognition that when it comes to data, 70% is data prep and 30% is design, analytics, and visualization.
  • Team management experience– to direct, mentor, and oversee members of the M&E team, you should possess effective leadership, coordination, and motivation skills
  • Organization skills –to successfully direct and oversee all quality assurance procedures and coordinate production processes you should have strong organization skills

IT Operations Department

IT Operations is responsible for last mile delivery of technology, ensuring that everyone from school staff to executives, all have the functioning technology they need to excel at their jobs. What You Will Do

  • Provide first line technical support to school staff, assisting them to diagnose and resolve hardware and software problems remotely and in person

About the role

The Officer, Finance plays a critical part of the daily financial life of all Support office functions by ensuring that there is a constant link between the territory office and the Finance Service Centre in India. The role ensures the smooth running of financial aspects of the business from recording pupil receipts to receipt of payment, managing payments, compliance to preparation of management reports.

What you will do

  • Think strategically and creatively about RwandaEQUIP International s’ financial direction.
  • Review and approve journal entries and adjustments prepared by the Finance Shared Service team before they are posted into the accounting system.
  • Work with the finance shared service team ensure revenue reconciliation between systems and its completeness.
  • Ensure that office leases are renewed on time.
  • Reviewing payments requests for tax compliance  before approval by Director, Finance.
  • Responsible for maintaining and reporting on all office repairs, actual spend and budget.
  • Management of general ledger accounts and ensuring that all postings are correctly captured department wise.
  • Drive financial period closing, preparation of monthly financial statements, reconciliations, reports and management notes with the Finance Shared Service.
  • Preparation of Finance weekly dashboard.
  • Coordinate stock taking on a quarterly basis and reconciliation between actual inventory held and the Inventory ledger, investigating any variances and recommending action.
  • Compiling Fixed assets listing for Insurance purposes, ensuring that additions and deletions are done on time in the accounting system and communicated to the insurance company for adjustment.
  • Coordinating raising of insurance claims and following up to ensure timely closure.
  • Filing of VAT & WHT returns on a monthly basis and ensure payments are made on time when due.
  • Ensure timely payment of payroll statutory and other deductions, for example PAYE, NSSF maternity leave,CBHI etc. and filing of returns where required by Finance Shared Service.
  • Assist Finance Director in managing statutory audit by ensuring that schedules are prepared on time, audit queries resolved timely in order to mitigate audit overruns.
