Job Title: Warehouse & Logistics Intern

Reports to: Warehouse & Logistics Coordinator

Location: UGHE Butaro Campus

Position Overview

Under the general supervision of the Warehouse & Logistics Coordinator (WLC), the Logistics Intern will provide support for the day-to-day operations of the warehouse and overall logistical needs on campus. The Logistics Intern will support the operations team on the setup of UGHE’s brand new housing cluster 8 by assisting the team to coordinate deliveries and installation for FF&E. He/she will be supporting on the receipt of all major incoming shipments and relevant logistics both international and local shipments, as well as ensuring that the inventory is processed, organized, and stored according to the standard operating procedures.

Day-to-Day warehouse & Logistics Operations 

  • Ensure all materials from suppliers are correctly received against the purchase order.
  • Assist in maintaining accurate records of inventory levels by conducting regular stock checks and reconcile all discrepancies.
  • Collaborate with the warehouse team to optimize stock placement and ensure all stocks are well received and allocated in a designated warehouse area.
  • Learn to use UGHE inventory management systems and software for order tracking.
  • Assist the procurement team with all final procurement and necessary logistics for the campus outfit and operations.
  • Assist in the distribution process and ensure the stock is prepared for distribution promptly.
  • Daily supervision of warehouse technicians and casual workers for all outfitting related works and daily warehouse operations.
  • Adhere to safety protocols and guidelines with the warehouse.
  • Assist in overall campus logistics as needed.

Requirements

  • Bachelor’s degree in supply chain, operations, procurement, and logistics, business administration or a related field
  • Willing to live in Butaro full-time (including weekends) is required
  • English and Kinyarwanda proficiency required
  • Ability to work with minimum supervision and take initiative; must be a quick learner, able to multi-task, and easily adapt to changing circumstances
  • Advanced organizational skills and capacity to handle multiple assignments and meet deadlines with attention to detail and quality
  • Ability to effectively work on a team in a complex, fast-paced environment
  • Computer skills in word processing, database, and spreadsheet programs
  • Exceptional interpersonal skills including the ability to interact professionally with culturally diverse staff, partners
  • Ability to work under pressure and meet deadlines
  • Proficiency in Microsoft Office applications
