The Finance Unit is part of the Operations section, composed of Finance Specialist, Finance Associate and Finance Assistant to timely provide support for effective and efficient programme implementation.

How can you make a difference?

You will be responsible for executing a broad variety of standardized administrative and specialized tasks in finance and accounting functions for the respective section(s) requiring thorough knowledge of UNICEF administrative and financial procedures, rules and regulations, processes and policies.

In this capacity, the need to project the image of a credible and reliable service provider is imperative to quality of process delivery, and the impact of work directly reflects on the overall reputation of the team in terms of responsiveness to client needs and quality of process execution.

Please see the area under your responsibility:

Invoice Registering and Processing:

  • Serve as one entry point for all invoices,
  • Maintain and update the invoice tracking sheet on the collaboration site and ensure the relevant supporting documents are attached in the system
  • Monitors and report on Finance activities on weekly basis
  • Responsible for collecting invoices and filing documents and, processing
  • Upload electronic files and verify results to destination system;
  • Respond to client transaction status and other inquiries.

Support to Financial Control

  • File the transactions and the related supporting documents regularly
  • Submit periodic financial reports for management oversight, monitoring and review.
  • Provide relevant information for the response to audits;
  • Assists in preparation of periodic accounting records, recording receipts and disbursements and reconciling data for recurring or special reports.

Process & safeguard Payment documents

  • Follow up to get checks and Order Payment signed.
  • Inform operation and program staff when checks are ready for collection.
  • Ensure safe and timely transfer of payment orders.
  • Stamp all financial documents with stamp paid before their filling.
  • Maintains contacts with local banks for verifying account status.
  • Check online bank statements on daily basis
  • Serves as a Local Focal Point Releaser (for invoices not certified manually).

Petty cash custodian back-up

  • Make disbursements from petty cash funds, maintain records of these disbursements and balances accounts, Record DCT refund and other receivables
  • Monitor deposits of cash receipts on UNICEF bank accounts;
  • Initiate all receivables.

General Administrative Duties

  • Ensure proper scanning and renaming of all invoices to be submitted to Global Shared Services Center.
  • Ensure proper filing of all financial documents at the Finance Unit level  and manage archives and ensure prior discussion for access to any financial documents by external party;
  • Assists newly arriving or departing staff members with opening or closing bank accounts, exchanging currency and other financial matters;
  • Maintain hard and electronic files and update data base systems
  • Support the Deputy Representative Operations (DRO) in follow ups, monitoring and quality assurance of operations’ plans, activities and documentation.
  • Maintaining DRO’s daily agenda and external contacts
  • Any other work assigned by DRO

To qualify as an advocate for every child you will have…

  • Education: Secondary Education or a bachelor’s degree from a recognized academic institution in social sciences, business management, administration, finance or any other relevant field of discipline with 2 year of work experience.
  • Work Experience: Five years of relevant professional work experience in finance or accounting required.
  • Knowledge in Quality assurance and control is an asset.
  • Knowledge in Physical and electronic document filing is an asset
  •  Knowledge in Petty Cash management is required.
  • Knowledge in payment voucher preparation is required.
  • Knowledge in managing daily agenda and external contacts is an asset.
  • Knowledge of processing payments using Pcard and reporting on the use of funds in accordance with the purchasing card guidelines and UNICEF policies on cash management will be an asset.
  • Language Proficiency: Fluency in English and Kinyarwanda is required; knowledge of French considered an asset.
