Job Description

RR Office at UNDP in Rwanda is seeking a graduate/ student in final year of the university with an interest in internship opportunity. This will enhance the successful candidate with practical work experience and exposure.
- Maintain the RR calendar and contacts with high-ranking visitors, arrange appointments and meetings.
- Follow up on briefing materials for the RR meetings briefing materials for appointments, meetings and missions
- Manage Resident Representative missions and representation schedule and share her calendar every morning.
Provide effective communications support to the office to facilitate essential flow of information(20%)
- Maintain paper and electronic filing systems to ensure safekeeping of confidential materials and accessibility of documents.
- Coordinate information flow in the office and follow up on circulation files.
- Facilitate information sharing between the RR’s Office, UN Country Team, and the UN Coordination Unit.
- Follow up on deadlines, commitments made, and actions taken; and coordinate the collection and submission of reports to the RR.
- Screen all incoming calls and correspondence.
Support other/ad hoc activities as seen relevant and needed(10%)
- Good knowledge of Microsoft tools (MS Word, Excel, PowerPoint);
- Excellent writing skills;
- Good knowledge of data analysis skills
- Ability to multi-task and address competing priorities;
- Knowledge and understanding of gender and development issues;
Interest and motivation in working in an international organization; - Good analytical skills in gathering and consolidating data and research for practical implementation;
- Outgoing and initiative-taking person with a goal oriented mind-set;
- Communicates effectively when working in teams and independently;
- Good in organizing and structuring various tasks and responsibilities;
- Displays cultural, gender, religion, race, nationality and age sensitivity and adaptability;
- Responds positively to feedback and differing points of view;
- Consistently approaches work with energy and a positive, constructive attitude.
- currently in the final year of a Bachelor’s degree; or
- currently enrolled in a Master’s degree; or
- have graduated no longer than 1 year ago from a master’s degree or equivalent studies.
Field of study: Communications, Journalism, Public Relations or other similar subject at the university level.
IT skills:
- Knowledge of Microsoft tools (MS Word, Excel, PowerPoint);
- Familiarity with Adobe Photoshop, Illustrator, In-Design and other graphic design production tools is an asset.
Language skills:
- Excellent communication skills (written and oral) in English are required;
- Kinyarwanda and French an asset
- Knowledge of other UN languages is an advantage.
INTERNSHIP CONDITIONS
- UNDP will provide a stipend amount monthly in accordance with the provisions of the UNDP Internship Policy. All expenses connected with the internship (except costs associated with site visits outside of duty station, as described above) will be borne by the Intern or her/his sponsoring entity.
- UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship.
- Interns are responsible for obtaining necessary visas and arranging travel to and from the duty station where the internship will be performed.
- Interns are not eligible to apply for, or be appointed to, any post in UNDP during the period of the internship.
- Interns must provide proof of enrolment in health insurance plan such as mutuele de sante and others.
- Interns are not staff members and may not represent UNDP in any official capacity.
- Interns are expected to work full time, but flexibility is allowed for education programmes.
- Interns need to obtain financing for subsistence and make own arrangements for internship, travel, VISA, accommodation, etc.
