Job Title: HR Field Officer

Location: Uzima Chicken Head Office/Kigali with field travel when necessary

Reports to:Senior HR &Admin Officer

Type: Full-time contract
Department: Human Resource

Job Summary:

The HR Field Officer plays a critical role in supporting HR activities in field offices or project sites. This position focuses on the implementation of HR policies, recruitment, employee engagement, and ensuring compliance with labor laws and organizational standards. The HR Field Officer collaborates closely with field teams and the central HR department to ensure smooth HR operations in remote locations.

Key Responsibilities:

Recruitment and Onboarding:

  • Assist in the recruitment process by sourcing candidates, conducting initial interviews, and organizing recruitment drives at project sites.
  • Coordinate the onboarding process for new hires, including contract signing, briefing on policies, and job-specific training.
  • Ensure proper documentation and filing of employment records.

Employee Relations:

  • Act as the first point of contact for field staff regarding HR-related inquiries, conflict resolution, and grievances.
  • Foster a positive and productive work environment by addressing employee concerns and promoting teamwork.
  • Organize regular field visits to maintain employee engagement and address concerns proactively.

HR Compliance:

  • Ensure compliance with local labor laws, company policies, and ethical standards at field locations.
  • Conduct audits and checks to verify adherence to employment contracts, safety standards, and work conditions.
  • Report any compliance violations or risks to the HR Manager.

Training & Development:

  • Identify training needs for the staff and coordinate relevant skill-building workshops or courses.
  • Liaise with the Learning & Development team to deliver training programs aimed at improving productivity and employee satisfaction.

Payroll and Benefits Administration:

  • Collect and submit necessary payroll documentation, including timesheets, leave records, and overtime data, to ensure timely and accurate salary payments.
  • Assist employees with questions regarding compensation, benefits, and other HR services.

Performance Management:

  • Support the performance appraisal process by helping field managers set objectives, provide feedback, and assess employee performance.
  • Track and report performance data, ensuring that performance reviews are conducted on time.
  • Address performance-related issues by working with managers to create action plans for improvement.

Health, Safety, and Employee Well-being:

  • Collaborate with the Health & Safety team to ensure the physical and mental well-being of staff on site.
  • Assist in implementing health and safety protocols at field locations, including regular safety drills and risk assessments.
  • Provide support for wellness programs, including stress management and mental health services.

Data Management & Reporting:

  • Maintain accurate and up-to-date HR records for field staff, including attendance, performance reviews, and disciplinary actions.
  • Generate regular reports on key HR metrics, such as staff turnover, attendance, and employee satisfaction, for management review.
  • Perform any other task assigned by the line Manager

Qualifications & Skills:

  • Bachelor’s degree in Human Resources, or a related field.
  • Minimum of 2 years of experience in an HR role, preferably in field operations.
  • Strong knowledge of labor laws, HR policies, and best practices.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to work independently, travel to field locations, and adapt to different environments.
  • Proficiency in Microsoft Office and HR management software.
  • Strong organizational and time-management abilities.

Preferred Qualifications:

  • Fluency in English  and  Kinyarwanda.
