Dates: on/about October 10, 2022 – November 30, 2022
Estimated LOE: 38 days ( full-time)
Reports to: Project Startup Lead/Chiefs of Party
Position Summary
The Consultant will provide support to the project Operations Team under the projects USAID/Rwanda Feed the Future Employment and Entrepreneurship Activity (the “Activity”), CO. 72069622C00001, and USAID/ Feed the Future Rwanda Kungahara Wagura Amasoko CO. 72062320D00013/720-696-21-F-00001.
This position is expected to be full time during the duration of the assignment. The position is expected to report to the office 5 days/ week.
Main Responsibilities
The Consultant will work with the Operations and Activity team to complete the following tasks:
- Support administrative operations and activities in office including office management, respond to office inquiries, and a wide range of admin/ops support for the project office.
- Support coordination of logistical support for staff and consultants: taxi bookings, hotel accommodation, conference bookings, meeting logistics, etc.
- Support processing of vendor invoices in liaison with admin and finance staff.
- Support maintenance of the admin/operations files for the office, in an orderly manner.
- Keep maintenance and coordination of electronic files in the project’s online archive system.
- Maintain adequate and constant availability of office supplies in liaison with Operations Team.
- Support coordination and administrative support for internal and external meeting’s needs.
- Support coordination of the logistics for trainings, events, workshops, travel, or surveys.
- Attend meetings and take notes as requested.
- Update and keep maintenance of operational and administrative trackers for the project.
- Perform any other duties as assigned by the Project Startup Lead or Chiefs of Party.
Qualifications
- Bachelor’s degree and 3 years of experience supporting office staff; preferred for a USAID-funded project.
- Ability to work in a team oriented, fast paced environment.
- Knowledge of donor funded programs, particularly USAID a plus.
- Advanced working knowledge of Microsoft Word, Excel, and strong database skills.
- Detail oriented, organized and able to meet tight deadlines.
- Self-motivated, results driven, prefers to work in a fast-paced dynamic environment.
- Proven prioritization, time management and project management skills.
- Effective written and interpersonal communication skills.
- Strong interpersonal skills and ability to build lasting relationships.
- Must possess excellent oral and written communication skills including fluency in English; additional fluency in Kinyarwanda, Swahili, and/or French preferred.
- Availability to undertake assignment immediately in a full time basis.
