JOB DESCRIPTION

 

I. Job Posting – Rwanda Administrative Assistant

I. BACKGROUND:

In addition to our work with children, Right To Play advocates with parents, local communities, and governments to advance the fundamental rights of all children.

 

Right To Play is headquartered in Toronto, Canada and has operations in North America, Europe, the Middle East, Africa, and Asia. Our programs are facilitated by more than 550 international staff and 15,800 local volunteer Coaches.

 

The Rwanda country office is currently searching for 1 qualified and self-driven candidate to join a team of professionals in Rwanda as Administration Assistant.

 

 

 

II. JOB SUMMARY:

 

The Administration Assistant reports directly to the Finance and Administration Officer. The incumbent is primarily responsible for providing efficient and effective support in the administration of office and project activities.

 

 

III. RESPONSIBILITIES

 

In accordance with Right To Play (RTP) approved policies and procedures, the incumbent: Time%

 

1. Administrative support                                                              50%

 

 

Assists the project team in preparing and maintaining project related Documentation, where applicable.

Sets up and coordinates meetings and workshops as required.

Maintains vacation and sick time records of staff and communicates it to the HR Officer or HR Focal Person, where applicable.

Maintains a contact list of government emergency numbers and important persons in the organization to be contacted in case of emergency.

Ensures regular submission of procurement activity reports and logistics and asset reports to management.

Compiles financial reports and assists the Project Officer in preparing the Daily Expense Log (DEL), where applicable.

Ensures that entries are up to date in the logbook of vehicles and that all drivers keep vehicle documentation in their assigned vehicle.

Manages and maintains the field office’s assets, as well as all expendable and non-expendable items, and maintains an updated record of all inventories and official documents including office lease agreements and vehicle rental agreements.

Keeps track of purchase orders, bills, goods received notes, invoices, memos, and vehicle log books.

Arranges for maintenance, repair or disposal.

IV. PLANNING AND ORGANIZING

 

The incumbent is expected to plan and coordinate administrative tasks for the office. He/she develops the work plan in line with the office work plan.

 

 

V. MINIMUM QUALIFICATIONS (Must have)

 

(A) EDUCATION/TRAINING/CERTIFICATION

 

Diploma in business management, office management or related discipline

 

(B) EXPERIENCE

 

2 years’ experience in office administration with I/ NGO.

 

(C) Knowledge and Skills

 

Ability to plan and organize tasks and priorities
Ability to work effectively under pressure
Ability to multitask
Communication skills
Computer literacy in Word, Excel and PowerPoint and the ability to browse the internet.
Good in spoken and written English and local language(s). French is also required.

 

VI. DESIRED QUALIFICATIONS (An Asset)

 

Fluency in local languages.
