We are seeking to hire qualified, dedicated and experienced “Sponsorship Relations Facilitator” (1position)for our Rwanda Country Program to be based in Gatunda Sector/Cluster in Nyagatare District




DUTIES AND RESPONSIBILITIES

The Sponsorship Relations Facilitator will report to the Sponsorship Relations Officer and will be responsible for the following areas:

  • Participate in the identification, selection, registration and verification of beneficiaries in the targeted communities as per set guidelines.
  • Ensure that letters are written, translated and get to sponsors/children on time.
  • Take children photos as required
  • Write at least one (1) success/impact stories per month and include photos showing the change in the lives of the people living in the community.
  • Engage and sensitize target communities with respect to program activities and organize parents and/or children meetings according to the relevant topics.
  • Equip parents in order to meet the spiritual, intellectual, physical and emotional needs of their children.
  • Build the capacity of the volunteers and partner with community groups to deliver outcomes effectively to enhance the well-being of children and ensure volunteer efforts are coordinated to promote integration and synergy to prevent duplications.
  • Visit the home of registered children two (2) times a year and complete a child well-being report using the template provided.
  • Represent FH Rwanda in community meetings and other forums as requested by the supervisor.
  • Monitor the day-to-day program activities in the assigned cell in accordance with the designated monitoring systems and maintain accurate records of the same.
  • Participate in data collection and entry for any assessments, surveys and evaluations.

REQUIRED SKILLS AND QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty/function satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required:

  • Must have a demonstrated Christian commitment to serving the vulnerable and be in full agreement with FH’s Christian foundation and FH Vision, Mission and Values.
  • Diploma in Education or related topics plus at least five (5) years of relevant work experience in an NGO setting.
  • Demonstrated skills and experience in community relations and mobilization using participatory methodologies
  • Ability and willingness to learn and work with a high degree of motivation and adaptability
  • Good communication, interpersonal and organizational skills, including the ability to work effectively in a team
  • Basic computer skills (Microsoft Office)
  • Ability to train using adult methodologies
  • Ability to write good reports and good oral and writing skills
  • Knowledge of related programs, particularly education, agriculture, nutrition and hygiene are also an advantage.
  • Proficiency in spoken and written English and Kinyarwanda

We are seeking to hire qualified, dedicated and experienced “Cluster Sponsorship Relations Officer” for our Rwanda Country program to work in the following areas: Mwendo sector in Ruhango district, and Nyarubaka sector in Kamonyi (1 per cluster).

DUTIES AND RESPONSIBILITIES

The Cluster Sponsorship Relations Officer will report to the Cluster Coordinator and Sponsorship Relations Officer will be responsible for the following areas:



  • Collaboratively work with Cluster Coordinator and staff in ensuring correspondences on sponsorship activities are documented in Word Link (online system to track Child Sponsorship programming)
  • Ensure quality and timely correspondence between children and sponsors
  • Ensure appropriate documentation storage and filing of program documents
  • Collaboratively work with the Sponsorship Relations Coordinator and other Sponsorship Relations Facilitators in compiling and reviewing Correspondence documents and uploading them in World Link as required
  • In collaboration with Sponsorship Relations Coordinator, Cluster Coordinators and Sponsorship Relations Facilitators, actively participate in the registration process of new children and update children profile in World Link.
  • Work with the Sponsorship Relations Facilitators in ensuring the overall wellbeing of sponsored children and provide support where required such as facilitating medical care.

REQUIRED SKILLS AND QUALIFICATIONS

  1. FINANCE AND ADMINISTRATION OFFICER (2 POSITIONS)

We are seeking to hire qualified, dedicated and experienced “Finance and Administration Officer”

(2 positions) to work in the following cluster areas:  Mwendo sector in Ruhango district and Nyarubaka sector in Kamonyi (1 per cluster).

ESSENTIAL TASKS AND RESPONSIBILITIES

The following duties are typical for this position. The incumbent may not perform all the listed duties and/or may be required to perform additional or different duties from those spelt out below to address needs and changes in the organization.

Key Result #1 – Accounting, financial and internal controls 

  1. Ensure that all transactions relating to a particular day are recorded in the Journals in a timely manner.
  2. She/he is responsible for filing of all financial records and ensuring that files are labeled in accordance with FH filing policy.
  3. Support the cluster coordinators in review of monthly report and budget C adjustments
  4. Support Cluster coordinators and field staff in the development of new project budgets
  5. Train field staff on basic financial documentation and processes including training then on coding
  6. Ensure all documentation like beneficiaries list, activity reports, GRN are properly filled and attached to payment.
  7. Work with drivers to ensure that vehicle log sheet/book at cluster level is filled and sent on time to head office.




Key Result #2 – Program advances and Payments at cluster level

  1. Manages the Program advances settlement and report to the FM in case a staff has failed to settle his/her advance in two weeks.
  2. Verifies the Program advance report and ensures that all the relevant documents are provided and proper coding is done
  3. He/she must also ensure that the nature of expenses matches the program advance request.
  4. Responsible for petty cash management including supporting in small procurement at the cluster level
  5. Ensure control and security of cash resources.

Key result # 3: Handling administrative and logistical duties at cluster level

  1. Arrange accommodation and travel for visitors, sponsors or donors visiting the cluster offices as needed.
  2. Assist the HR and Admin Department with leave management and ensure that the office and office equipment are clean at all times
  3. Put a system of register incoming and outgoing correspondence and maintain reference number system.
  4. Develop and maintain an accurate filing system, monitor the use of office supplies and equipment.
  5. Assist the HR and Admin Department in coordinating Staff Learning and Development efforts at the cluster level
  6. Work with the Logistics Officer based in Kigali and ensure that the office equipment at the cluster office is maintained (copier machine, printers, etc.) and an updated asset and inventory list is updated
  7. Supervise drivers, security guards and office hosts at the cluster office
  8. With support from Logistics officer, oversee vehicle and motor bike movement plans, fueling and maintenances of vehicle and motorbikes based at the cluster level

QUALIFICATIONS

  • Christian commitment to serving the poor
  • Proven Experience & application knowledge of Sun Systems V5.3.1.3 Sun systems, or other financial accounting systems
  • Must have a proven knowledge of Generally Accepted Accounting Principles and a practical knowledge of financial systems and internal controls.
  • Ability and willingness to learn and work with a high degree of motivation and adaptability
  • Organizational skills and the ability to work effectively in a team
  • Excellent computer skills (Microsoft Office Suite)
  • Must have accuracy and reliability
  • Must have good oral and written communication skills in English
  • Ability to prioritize tasks, meet deadlines and work with limited supervision.
  • Must have excellent written and verbal communication skills in both English, French and Kinyarwanda.

EDUCATION AND EXPERIENCE

  • Degree in Finance/Accounting, or Bachelor of Commerce (Accounting) from a recognized and certified institution or University plus Professional Accounting Qualifications,  or Advanced Diploma (A1) in Secretariat, Administration have minimum of 3 years’ experience in a similar position with an International NGO.

Key result #2- Documentation and program reports

  1. Obtain information from Sponsorship Relations Facilitators about child-sponsorship activities to keep updated on the sponsorship status and any arising issues
  2. Works closely with the Sponsorship Relations Facilitators to plan and share a joint implementation plan
  3. Establishes and maintains project and activity documents including k
  4. Compile timely monthly, quarterly, biannual and annual progress reports as required.

  6. Assist in generating stories required from the field to facilitate the process of fundraising campaigns.

  1. Conduct awareness on value of education andimproved hygiene and sanitation to parents, households and general public
  2. Facilitate trainings on health and value for education activities.
