Background

The Rwanda Youth in Agribusiness Forum (RYAF) is a nationwide platform whose purpose is to change the current perception among the youths vis-à-vis the agriculture sector in Rwanda, while orienting them to seize investment opportunities through awareness creation, skills development, and advocacy support services. The idea is to create a critical mass of change agents to influence transformation of agricultural business landscape with courage, determination and positive attitude.

It is a platform of young entrepreneurs operating in any sub-sectors of agribusiness value chain (crop and/or livestock production, agro-processing, inputs and other agro-services as well as ICT in Agriculture). Officially launched in May 2016 with the aim to rejuvenate the sector here in Rwanda, RYAF strive to change and challenge youth mindset vis-à-vis agribusiness opportunities for food and nutritional security and sustainable job creation. The forum is officially legalized in the official gazette number 50 of 11th December 2017.

 

RYAF currently serves a membership of nearly 4,300 young agri-preneurs, and anticipates the growth of this number at least three-fold in 2018.

To be able to deliver services that meet members and partners’ expectation, RYAF is looking for a dedicated staff team to carry out responsibilities related to day-to-day operations of the Forum as follow:

 

  1. Business Development Manager (1)

 

 

Essential duties and responsibilities:

Membership Coordination, Member-centered Programs, Services and Benefits

  • Developing and leading a strategic membership development program designed to increase total membership and membership dues revenue.
  • Being highly focused on providing superior service to our members
  • Works with the Board and other members of the RYAF Senior management to produce and coordinate special programming for RYAF members.
  • Conducts all activities related to RYAF member acquisition, on boarding, retention, dues structure, membership renewal and communications needed to achieve RYAF’s Strategic Plan and the Forum’s membership goals.
  • Develops new, proactive programs to increase membership and further engage existing members.
  • Provide creative leadership and management of RYAF membership experience and programs in order to grow membership in the Forum.
  • Ensure membership service offerings are current, appropriate, forward looking, and reflect the needs of RYAF members and clients.
  • Recommend and develop new programs and services for RYAF members as necessary.
  • Lead the overall administration of member support services.
  • Work with the Board to develop surveys and other assessments to monitor member satisfaction and trends.
  • Maintaining a high level of member satisfaction.

 

Business Development Optimization for the Forum and its members


    • Developing and implementing RYAF’s framework for delivering integrated business development services to youth in agribusiness.
    • Searching for opportunities that support member businesses and regularly share the information to eligible members in a timely manner; especially in the areas of entrepreneurship, business management, coaching, and access to capital.
    • Developing proposals for submission to potential partners to collaborate on the development RYAF member businesses.
    • Work with the Capacity Building Manager to develop and propose ongoing technical and managerial training programs for RYAF members.
    • Maintaining and developing strong relationships with current members to encourage participation in RYAF activities.
    • Assist with collaboration efforts with other like-minded professional Forums and organizations to promote RYAF business interests

     

    Events, Communications, Marketing

    • Responsible for acting as the main point of contact for member-related services and inquiries
    • Coordinating all member-centered events including event planning, participants and guests invitations and overall publicity and visibility.
    • Prepares monthly newsletter for members from inputs given by each RYAF Unit/Department.
    • Responsible for personally calling existing, prospective and inactive members to determine member needs and reasons where applicable; and design plans to increase members’ commitment to the Forum.
    • Directing the development and implementation of member communications using fresh content and technologies to inform, engage, retain, and grow membership; to include social media, e-newsletters, direct mail, email campaigns, and updates to the BSA web site.
    • Working with staff on communicating member needs, services, and pertinent information for website, newsletters, and other communication vehicles.
    • Coordinating with RYAF Communications and Marketing Officer to assist in communications and marketing efforts that feature or benefit RYAF members.
    • Assisting in the development and implementation of advertising and promotional campaigns designed to support memberships.

     

    Member Records Management  

    • Developing and ensuring proper maintenance of an accurate membership management system including members’ database, member programs data, success stories and activity management.
    • Manage and oversee the integrity of the RYAF membership and prospect database; keep records up-to-date and accurate.
    • Update websites with member-related content in coordination with IT staff.

     

    Governance and Financial Administration

    • Identify and analyze emerging membership and historical issues for the staff and Board.
    • Coordinates and receives reports from all cluster leaders
    • Monitors and reports on key metrics related to membership and generate reports to inform engagement strategy including monthly membership status update/reports for each cluster.
    • Work in support of all other RYAF programs as and when required.
    • Performs other duties as assigned.

     

    Minimum Qualifications for the Business Development Manager:

    • Minimum of a Bachelor’s degree in Agribusiness, Business Administration, Management
    • Vast experience in business development and training (Minimum 5 years)
    • 5 years of professional experience working with entrepreneurs of various sizes, especially SMEs.
    • Demonstrate attention to detail.
    • Strong interpersonal and relationship-building skills.
    • Experience and demonstrated proficiency with MS Office (Word, Excel, PowerPoint) and openness to learning and working with new technology.

    1. Research, Consultancy and Extension Manager (1)

     

     

     

    Essential duties and responsibilities:

    • Gather, disseminate information and create comprehensive documentations containing technical know-how in various fields of agribusiness.
    • Identify research that positively affect RYF’s programmatic areas and develop recommendations on RYAF involvement.
    • Develop proposals to mobilize resources for RYAF research and extension services initiatives.
    • Design and coordinate the RYAF consultancy team.
    • Advise on consultancy opportunities that RYAF can pursue from NGOs, government stakeholders, and other prospective partners.
    • Contribute to proposal development and implementation consultancy projects.
    • Coordinate managers and staff of active consultancy projects to ensure that RYAF meets and exceeds programs
    • Collaborate with managers of active projects to ensure proper ongoing Monitoring and Evaluation activities including data collection, analysis, and report writing.
    • Ensure documentation and reporting on all RYAF work related to research, consultancy and extension services including case studies.

    1. Capacity Building Manager (1)

     

     

     

    Duties and responsibilities

    • Advises RYAF on capacity building gaps to be filled.
    • Plan and implement a comprehensive capacity building plan for RYAF young professionals.
    • Design and manage training and capacity building programs which aim to develop the knowledge, confidence and skills of young prospective service providers and professionals who work with work with RYAF in consulting services.
    • Search for national and international advanced capacity building opportunities that RYAF can benefit by sending staff, young agri-preneurs and or interns.
    • Coordinate with the internship management team to ensure proper management of the internship team
    • Plan and implement the required technical training for interns to perform in their placement organizations.
    • Plans and implement knowledge transfer programs to make sure that use those who benefited from advanced capacity building opportunities through RYAF transfer what they have learnt for use by the targeted wide beneficiaries.
    • Responsible for business-related capacity building offerings to RYAF members
    • Writes regular reports (usually monthly reports) on the status of capacity building vis-à-vis youth in agribusiness.

    The ideal candidate will have excellent knowledge of significant experience in designing, and facilitating and/or supporting the design of participatory training programs, an ability to work and communicate effectively with wide and diverse audiences, and strong coordination skills, including ability to self-motivate and manage time effectively.

     

    • A minimum of a Bachelor’s degree in Business Development, Business Administration, Management, Statistics, Economics, Development Management or related-fields.
    • At least 3 years of experience in training and capacity building; preferably, having worked for a major capacity building organizations would be a plus.

    1. Corporate Liaison Manager (1)

     

     

     

    Responsibilities

    • Monitor the day-to-day financial operations within RYAF, such as payroll, invoicing, and other transactions,
    • Ensure accurate, complete & timely financial and management reporting, including monthly management accounts and bank reconciliations,
    • Contract outside services for tax preparation (if any), auditing, banking, investments, and other financial needs as necessary,
    • Track RYAF’s financial status and performance to identify areas for potential improvement,
    • Seek out methods for minimizing financial risk to RYAF,
    • Research and analyze financial reports,
    • Provide insightful information and expectations to board and other concerned senior management staff to aid in long-term and short-term decision making,
    • Review financial data and prepare monthly and annual reports,
    • Present financial reports to board members, stakeholders, executives, and clients in formal meetings,
    • Stay up to date with technological advances and accounting software to be used for financial purposes,
    • Establish and maintain financial policies and procedures for RYAF,

    1. Project Manager-PASP (1)

     

     

     

    Through a MoU based partnership with MINAGRI SPIU/IFAD-Funded Projects, Rwanda Youth in Agribusiness Forum (RYAF) is implementing the Post-Harvest and Agribusiness Support Project (PASP) through deployment of field-based Cooperative Support officers (CSOs) in selected cooperatives in 12 project districts. To ensure proper coordination and achievement of desired project deliverables, RYAF is recruiting an experienced individual on a short-term contract for the post of “RYAF-PASP Project Implementation Coordinator”


    Duties and responsibilities

    • Coordinate day-to-day operations of field-based Cooperative Support Officers (CSOs)
    • Be a one-stop contact person for all Cooperative Support Officers (CSOs) for any project-related updates, inquiries and issues.
    • Draw the responsive mechanisms of the assessed problems;
    • Troubleshoot problems and challenges of all RYAF PASP staff
    • Coordinate with the local leaders of cooperatives to supervise the field-staff appointed in their areas
    • Ensure that all RYAF field-based Cooperative Support Officer (CSOs) deliver beyond expectations to their duties in respect to:
    • Draw the responsive mechanisms of the assessed problems on quality;
    • Ensuring timely implementation of production and post-harvest handling activities by ensuring both quantity and quality (ensuring the prevention of aflatoxin);
    • Support in testing the moisture content of produce to ensure quality for both marketing and storage thus avoiding issues of aflatoxin;
    • Conduct awareness on aflatoxin prevention and control;
    • Establish and practice market strategies and linkage for selling collected produce;
    • Support to implement the resolutions and recommendations drawn by different stakeholders on Post-harvest and handling guidelines (Ministry of Agriculture, RALIS, RAB, technical services providers etc)
    • Ensuring the implementation of strategic plan and annual work plan
    • Ensuring a proper cooperative financial management;
    • Undertake the cooperatives capacity organization assessments;
    • In collaboration with the cooperative’s management committee, prepare the annual work plan, budget and reports;
    • Undertaking any other assignments or relevant duties in the field of their competences as may be assigned by his direct supervisor.

To ensure proper coordination and achievement of desired project deliverables, RYAF is recruiting an experienced individual on a short-term contract for the post of “RDDP Project Implementation Coordinator”

    Duties and responsibilities

    • Coordinate day-to-day operations of field-based MCC Associate Managers
    • Be a one-stop contact person for all MCC Associate managers for any project-related updates, inquiries and issues.
    • Draw the responsive mechanisms of the assessed problems;
    • Troubleshoot problems and challenges of all RYAF RDDP staff
    • Coordinate with the local leaders of cooperatives managing the MCC to supervise the field-staff appointed in their areas
    • Ensure that RYAF field-based MCC Associate Managers deliver individually and beyond expectations on their duties below:
    • Support to implement the resolutions and recommendations drawn by different service providers (Milk hygienic handling by RALIS, extension services by RAB and RCVD, Cooperative management, minutes of general assembly, report taking, audit recommendations by RCA, Farmer capacity on MCC development by HIR);
    • Support to replicate the best practices learned from service Providers;
    • Support to increase raw milk supplied to MCCs;
    • Provide the technical assistance during milking, collection and transport of raw milk
    • Establish the contracts and agreements with milk suppliers to MCC and monitor their implementation;
    • In collaboration with Business Development Fund (BDF), Rwanda Cooperative Agency and project service providers, RYAF will be engaged in strengthening the farmer organizations to a level that they are able to efficiently provide services to farmers in the milk value chain; bulk purchase and delivery of dairy farming inputs; direct (or indirect) provision of extension, AI and animal health services; and linkages to financial services through the “Hub” model already successfully tested in the country;
    • In collaboration with the cooperative’s management committee, preparing the annual work plan, budget and reports;
    • Undertaking any other assignments or relevant duties in the field of his/her competences as may be assigned by his direct supervisor.

    1. Monitoring and Evaluation Officers (2)

     

     

     

    Duties and responsibilities:

    • Develop project performance monitoring plan and ensure adherence to plan during the project implementation.
    • Develop monitoring and evaluation tools and systems that effectively track project deliverables and progress.
    • Create evaluation frameworks including specific methodologies to conduct project evaluations.
    • Conduct or oversee baseline, mid-line and end- line projects surveys and gather data into a reportable format.
    • Devise quantitative and qualitative indicators, benchmarks and data sources for project deliverables.
    • Organize M&E site visits to ascertain status of project achievements and undertake interviews and discussions with field staff and stakeholders.
    • Record data and prepare reports following each program monitoring visit.
    • Provide pertinent monitoring and evaluation data for RYAF to be present to the funding partner to strategically inform decisions on project implementation.
    • Document best practices and success stories and prepare documentation for public relations purposes.
    • Assist the RYAF Project Manager with preparation of high quality monthly project reports that highlight project achievements and milestones.
    • Make clear, concise, and of high technical quality presentations and materials shared to be shared with the project partners.
    • Ensure an end of project evaluation is carried out and carry out a lessons learnt informational update.
    • Prepare M&E reports and assist in the preparation of technical reports the Projects may require.

     

    Required Profile

    • Bachelor’s degree in Economics, Project Management, Statistics or related fields with 2 years of working experience,
    • Proficiency in evaluation design and development of indicators,
    • Good working knowledge of statistics and ability to obtain, analyze and interpret data and present findings in written and oral form.
    • Experience in quantitative and qualitative data collection/survey design, implementation and analysis
    • Experience with monitoring and Evaluation System Development
    • Excellent oral and written communication skills.
    • Excellent computer skills on MS Excel, SPSS, Epi- info and SAS

    1. Communications Officer (1)

     

     

     

    Responsibilities

    • Develop new content and maintain website, and Social media content.
    • Write new stories, create new pages, and solicit updates from other departments.
    • Assist with writing Newsletters for stakeholders based on a calendar developed by the Board and Senior Management,
    • Work with website design contractor (member companies) to implement design changes to the Forum website, as well as perform any needed reform on its appearance to fit the needs for marketing and information sharing,
    • Design and execute social media strategy for RYAF
    • Marketing & Communications Publications,
    • Assist in writing content for key organization publications including:
    • RYAF, which is a component of the direct mail program,.
    • Annual Report
    • Brochures, fact sheets, etc.
    • Thematic technical modules for RYAF members in different clusters
    • Conduct frequent member interviews to be used for newsletters, direct mail, website, press conferences, etc.
    • Maintain the RYAF photo library by taking photos, seeking pro bono photography, or contracting with paid photographers, to capture our work and the work of our agencies.
    • Develop video content for use on the website and in social media.
    • Design ads, flyers, banners, brochures, fact sheets, event signage, invitations, etc. as needed.
    • Community Events, Speaking Engagements & Tours
    • Manage inquiries from third parties (individuals or organizations) wishing to organize events in collaboration with RYAF.
    • Manage inquiries from outside groups that want a representative from RYAF to speak at their events.
    • If appropriate, and on the permission of the board, transmit the information to relevant audiences.
    • Assist in the development of public relations strategies for RYAF as needed
    • Write press releases and send them to appropriate press outlets as needed.
    • Maintain press list with accurate contact information.
    • Assist in analyzing and reporting impact of communications on organizational success.
    • Assist with the organization and implementation of department events. •
    • Help establish and maintain internal communications to keep staff informed of the work of the organization.
    • Supervise volunteers as necessary.

     

    Qualifications

    • Bachelor’s degree in English, journalism, communications or related field required.
    • Demonstrated ability to write strategic communications pieces for an organization, including press releases, newsletters, website content, etc.
    • Experience with content management platform.
    • Strong photography and videography skills.
    • Experience managing social media for an organization preferred.
    • Prior experience in a communications role strongly required. An additional experience in communications for fundraising would be a plus
    • Excellent written and oral communication skills.
    • Fluency in Kinyarwanda and English is a must, Working knowledge of French would be an added advantage

    1. Internship Project Officer (1)

     

     

     

    Duties and responsibilities

    • Identification of internship opportunities
    • Helping youth to register through RDB-CDE
    • Recruitment of youth and matching them with appropriate internship
    • Orientation & Placement of Interns
    • Follow up of daily activities of interns, and troubleshooting their challenges in the workplace
    • Develop technical documentation about the program (needed by stakeholders).
    • Timely submission of a weekly brief and intern’s case study to RYAF + a monthly reporting (due on the 14th of each month) to RDB-CDE
    • Follow-up of the payment of the facilitation fees to each interns.
    • Manage all active interns under RYAF & MINAGRI
    • Participate in the enhancement of guidelines and standards applicable to all interns in agriculture and livestock sector;
    • Plan and propose the necessary initiatives that can enhance interns’ skills in terms of proper performance of their duties such as specific subject-matter technical training, soft skills training, mentorship; etc.
    • Ensure effectiveness and efficiency in the implementation and management of internship program
    • Provide a framework for monitoring, evaluating and reporting for improvement and sustainability of all the work carried out by RYAF & MINAGRI interns.

    1. Human Resources Officer (1)

     

     

     

     

    Responsibilities

    • Provides initial contact and service to employees and visitors for the Manufacturing Human Resource department and ensures that their needs or requests are addressed in a positive, professional, and timely manner,
    • Enters and maintains accuracy and organization of assigned employees data, records, and files including, but not limited to; timekeeping, attendance, vacation, sick days, leaves, disciplinary actions, and other necessary employment information into HR information system,
    • Assists in recruitment and hiring tasks for manufacturing including, but not limited to; job postings, employment applications and classified employment needs advertisements including related record keeping and new employee orientation,
    • Creates and distributes letters, memos and reports for the Human Resource Manager and Human Resource Representative as appropriate,
    • Posts communication memos and other company related materials on company bulletin boards, and ensure all boards are current and organized,
    • Preparation of the staff payment,
    • Observes precautions and procedures to protect security of protected health information in accordance with the RYAF Privacy Policy. Reports any security concerns to the privacy officer,
    • Maintains associated HR logs including but not limited to: medicine log, truck log, applicant log, locker log, etc,
    • Other responsibilities may be assigned as needed,
    • Reporting to Corporate Liaison Manager.

    1. Accountant Officer (1)

     

     

     

     

    Responsibilities

    • Monitor the day –to – day financial operations within RYAF, such as payroll, invoicing, and other transaction with RYAF.
    • Contract outside services for tax preparation ,auditing ,banking, investment
    • Documents financial transactions by entering account information.
    • Recommends financial actions by analyzing accounting options.
    • Summarizes current financial status by collecting information; preparing balance sheet, profit and loss statement, and other reports.
    • Substantiates financial transactions by auditing documents.
    • Maintains accounting controls by preparing and recommending policies and procedures.
    • Guides accounting clerical staff by coordinating activities and answering questions.
    • Reconciles financial discrepancies by collecting and analyzing account information.
    • Secures financial information by completing data base backups.
    • Maintains financial security by following internal controls.
    • Prepares payments by verifying documentation, and requesting disbursements.
    • Answers accounting procedure questions by researching and interpreting accounting policy and regulations.
    • Coordinates the distribution and sale of company promotional items
    • Prepares special financial reports by collecting, analyzing, and summarizing account information and trends.
    • Maintains customer confidence and protects operations by keeping financial information confidential.
    • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
    • Accomplishes the result by performing the duty.

    1. IT Officer (1)

     

     

     

    Key responsibilities

    • Developing strategic IT plans that address business priorities.
    • Monitoring and maintenance of IT equipment and software.
    • Software and hardware support for all units, departments and personnel.
    • Local networks administration.
    • Hardware/software installation and configuration.
    • Regularly exercise discretion and judgment in the performance of the other essential job functions
    • Communicates with and/or provides direction to all managers and staff to inform, improve and strengthen IT and information to deliver services efficiently, effectively, securely and confidentially as needed.
    • Processing all IT needs and requests in providing customer service and IT support.
    • Provides advice, guidance and solutions to issues using the highest level of communication skills.
    • Ensures IT exercises proper due diligence in its continuous, effective and efficient provision of operational support to RYAF staff.
    • Monitor the performance of the overall IT environment to ensure the performance standards are met.
    • Provide oversight, technical monitoring, and validation of RYAF IT Operations.
    • Problem solving and managing change using Information Technology (IT) practices and methodologies for IT management of the organization,
    • Reporting to Corporate Liaison Manager

    Basic Qualifications:

    • Bachelor’s degree in Information Systems, MIS, networking, Information technology
    • Minimum 3 years’ experience in IT support.

    1. Administrative Assistant (1)

     

     

     

     

    Responsibilities

    1. To provide secretarial and administrative support to the RYAF Chairman,
    1. To attend and service RYAF Executive Committee/General Assembly meetings and take minutes and distribute after meetings along with any other relevant materials and to attend other meetings/events in a secretariat capacity as and when required.
    2. Establishing and maintaining computerized databases of the Forum’s contacts, service providers and other relevant information as required.
    3. Organizing travel and accommodation for the RYAF Chairman, other executive committee members and district coordinators,
    4. Establishing and maintaining filing systems as appropriate in line with the Procedure Manuals od the Forum,
    5. General administration/clerical support including photocopying, mail-outs, stationery and equipment supplies and filing,
    6. Maintaining the overall standard of the office space including liaising with cleaning services and keeping an equipment inventory of all capital, fixture and fittings.
    7. Assisting with the promotional activity of the RYAF, including responding to information requests from members of the public and assisting with the co-ordination of events and conferences.
    8. To assist with the dissemination of information to Youth Forum members e.g. updating RYAF Website and Social media.
    9. To maintain office equipment and liaise with suppliers regarding maintenance and supplies.

    EDUCATION

    • University degree in public administration, secretarial studies or related fields.

    • Experience working secretarial duties within international organizations, and major donors or major business or government institutions.
    1. Messenger (1)

     

     

     

    Responsibilities

    • Clean dust and mop office floors by using a variety of equipment.
    • Ensure that cleaning liquids are mixed in correct and safe quantities.
    • Vacuum and shampoo carpets and make sure that they are dried out before the day begins.
    • Wipe down desks and chairs and make sure that stubborn smears are removed using appropriate cleaning materials.
    • Empty trash cans and ashtrays and make sure that all trash is properly disposed of,
    • Clean and wash down windows and ensure that they are dried properly.
    • Wash down restrooms and ensure they are sanitized properly.
    • Replenish towels, soap and toilet paper in bathrooms on a regular basis.
    • Replace light bulbs and identify maintenance issues..
    • Ensure proper cleanliness of the areas around the office such as walkways and parking lots.
    • Shovel snow off walkways and sprinkle sand to make them safe for walking.
    • Move around heavy equipment and furniture for the purpose of storage or rearranging.
    • Make sure that office is locked properly at the end of the day.
    • Carry each mail from officer to other officer or institutions
    • Classify the documents if necessary.
    • Undertake other duties as required by the your supervisor,

    • A minimum  secondary school  certificate with ability to learn and adapt,
