ARC is looking for qualified, self-driven and committed individuals to join our team in the stated position – based at and to serve full time in the new Gashora Emergency Transit Centre, Bugesera District – Rwanda.

 

 

PRIMARY PURPOSE OF THE POSITION:

 

The Logistics Assistant will facilitate and oversee daily logistics and operations activities for the ARC Gashora Emergency Transit Centre programming. S/he will provide leadership and execution of operations and logistics plans, controls and compliance, maintenance of ARC associated facilities, installations and equipment; also sourcing, fleet management and arrangements for overall safety and security of operations – for quality and timely service delivery, and cost-effectiveness.

 

KEY RESPONSIBILITIES

 

Support in planning for operational activities of the site in collaboration with the program lead and team
Orient staff and associates on Controls and Standard Operating Procedures (SOPs), including fraud prevention, and ensuring full compliance with expected rules and regulations
Assist in proper and safe maintenance of all ARC facilities, installations, and assets.
Local market assessments for competitive pricing for common programs goods and services; also maintain a local supplier database
Assist in the packing and shipping of packages to and from the program site; ensuring proper systems for tracking and documentation.
Ensure proper storage and warehousing of ARC stock items and assets are maintained
Ensure that program vehicle fleet owned by, lent to, or hired by ARC are handled according to ARC and/or donor policies and procedures, including efficient fuel management, maintenance and repairs, mileage monitoring, and reporting.
Supervise the work of program guards, including at the programs office, guesthouse, and stores and other ARC installations
Oversight and arrangements for repair, servicing, and maintenance of all vehicles, equipment, and installations.
Perform any other duties assigned by the supervisor, or any other ARC leadership.

 

 

 

REQUIRED SKILLS, BEHAVIOR & EXPERIENCE:

 

Minimum of A1 paraprofessional training or certification in logistics, operations, supply chain and/or other related fields
Continuous education and specialized trainings in procurement and/or logistics management
Minimum of three years’ direct experience in procurement and operations
Good experience and technical skills in supply chain and asset management
The capable communicator in English; including written
Conversance with French, Kiswahili an added advantage
Self-motivated and client-orientated with a strong sense of personal ethics, integrity, and quality
Strong interpersonal and intercultural skills
High level of flexibility and tolerance to ambiguity

VACANCY – PHARMACY ASSISTANT

ARC is looking for qualified, self-driven and committed individuals to join our team in the stated position – based at and to serve full time in Kigali– Rwanda.

 

PRIMARY PURPOSE OF THE POSITION:

 

Based in Kigali, the Pharmacy Assistant will assist in implementing a well-defined standard of pharmaceutical warehousing /supply chain processes and activities to enable effective delivery of pharmaceutical goods and services to ARC’s beneficiaries. The individual will be required to provide specialized support functions and collaborate with staff performing standard logistics/supply chain processes and activities to enable effective delivery of goods and services to the ARC field offices in support of the ARC Rwanda programs.

 

The pharmacy assistant will assume the technical component of ARC pharmaceutical warehouse.

 

 

 

KEY RESPONSIBILITIES

 

To perform the receiving of medical items from the medical supplies to ARC’s pharmaceutical warehouse, by ensuring the proper documentation are complete and adherence to quality requirements of pharmaceutical products.
To prepare and dispatch the medical shipments to various destinations per approved reports and requisitions from requesting sites.
To regularly review the stock levels and track the consumption trends and advise the supervisor on the needs for stock re-ordering or replenishment.
To regularly monitor and record the storeroom and cold chain temperatures and monitor store room air conditioning equipment and advise the supervisor when there is a need for maintenance or upgrade of temperature monitoring equipment/ infrastructure.
To regularly update stock cards each time when there is any receipt, issues or any adjustment to stock items as well as notifying the supervisor in case of any discrepancies.
To conduct regular physical inventory for stock items as per agreed schedules with the supervisor and with the management.
To regularly review the stock items shelf-life and advice the supervisor on the need for stock adjustments or disposing damaged and expired items.
To supervise the regular cleaning activities of pharmaceutical warehouse premises as per the available permanent schedule.
To regularly update the electronic logistics management information system and/or the medical tracking system with data for stock movements and share updates with the supervisor on regular basis.
To submit the regular weekly work plan and the progress report with the supervisor.
To submit once a year the annual performance goals with the supervisor and regular share progress status with the supervisor, and alert in case of need for prompt support.
Report on other appropriate duties as assigned by the supervisor.

REQUIRED SKILLS, BEHAVIORS & EXPERIENCE

 

Minimum A1 in Pharmaceutical Studies or related fields ( Nursing, Logistics & Supply Chain Management, Health Informatics) with at least 2 years of relevant work experience in health commodities management at large scale levels ( central warehouse, regional or district warehouse), required.
Demonstrated experience and technical skills in working with electronic management information systems ( eLMIS), preferred!
Holding a valid practical license issued by a competent professional body, preferred.
Minimum 2 years’ experience in pharmaceutical logistics, with experience working for a reputable and large humanitarian or development INGO preferred.
Knowledge of donor’s procurement policies (US Gov, UNHCR, etc.)
Experience in budget monitoring and reporting preferred
Ability to communicate in spoken and written English with aptitude in reporting are mandatory.
Fluency in French and Kinyarwanda preferable
