JOB DESCRIPTION

ROLE OVERVIEW
To support the successful planning and delivery of the IVCO 2019 conference aimed at engaging 200 heads of agencies from the volunteering for development sector.

Responsibilities:

Support the operational planning and delivery of the IVCO 2019 conference.

Manage all associated administration and logistics related to the IVCO 2019 conference.

Draft all conference materials and information for conference website and delegate packs.

Liaise and support all speakers and presenters with support from the Forum network.

Researching and engagement of Local, National and Regional organisations to attend the conference.

Manage the registration and provide support to delegates to attend the conference.

Coordinating the running of the conference schedule, sessions and speakers on the day.

Manage relationships with all stakeholders contributing to and attending the conference.

Source and manage all suppliers providing services and good for the conference.

Coordinating event volunteers and staff to deliver a professionally run conference.

Deliver conference within agreed budgets.

Post event administration.

SKILLS, QUALIFICATIONS AND EXPERIENCE

Skills, Knowledge and Experience

Essential criteria:

Knowledge/qualifications:

• Degree level qualification or equivalent relevant to the role.
• Fluency in English and Kinyarwanda.
• Strong IT/Computer skills.

Experience:

• Extensive experience in event / conference management.
• Working with the international development or volunteering for development sector.
• In planning and delivering events with multiple stakeholders.
• Experience of carrying out research.

Skills/Abilities:

• Excellent organisational skills and attention to detail.
• Communication and interpersonal skills.
• Negotiation skills when looking for the best price from venues, suppliers and contractors.
• Time-management skills and the ability to work under pressure to ensure the efficient running of an event.
• Project management experience.
• Problem-solving skills and diplomacy.
• Confident in networking with a wide range of stakeholders.
• Ability to work unsupervised and on own initiative.

Desirable Criteria

Knowledge/qualifications:

• Networks with the volunteering for development sector and civil society organisations.
• Fluency in French.
