Supervisor
Roles & Responsibilities
Bright School is seeking a dedicated and detail-oriented School Accountant and Operations Supervisor to support the school office by ensuring financial accountability and sustainability. This role involves managing financial operations, fostering high levels of parent engagement and satisfaction, and overseeing the school feeding programme. The successful candidate will work closely with the Head Teacher to maintain efficient administrative and financial processes that contribute to the smooth running of the school.
School Office Administration
Support the Head Teacher of Bright School in managing administrative and operational functions to enhance overall school operations and efficiency in collaboration with TEACH Rwanda HR and TEACH Rwanda Finance Team
- Organize and manage office operations to ensure efficient administrative procedures.
- Sort and distribute communications promptly.
- Create, update, and maintain records to ensure accuracy and validity of information.
- Monitor office supplies and manage shortages as needed.
- Respond to office-related issues and coordinate with other departments to ensure compliance with school policies.
- Maintain confidentiality regarding parent, student, Bright School (BS), and TEACH Rwanda (TR) information.
- Foster trusting relationships with suppliers, parents, and colleagues.
- Take and transcribe notes at meetings and assist with other school business as required.
Financial Record Keeping and Accounting
Collaborate with TR finance team to manage BS finances through effective reporting and budget management with a focus on strengthening financial stability.
- Maintain accurate financial records, ensuring transparency and accountability.
- Collect and monitor school fee payments and additional payments such as transport, porridge, learning materials and any other relevant payments as they arise
- Track and report school expenses at the end of each month and work with TR financial team to prepare BS annual budget
- Generate and share financial summaries, detailing income and expenses across all school accounts using QuickBooks, and perform monthly bank reconciliation
- Review and process expense requests, generate daily and monthly financial reports including balance sheets and detailed profit and loss statements, and ensure these reports are shared with the BS Head Teacher and TR
- Process expense requests and generate daily and monthly financial reports.
- Ensure financial compliance and proper documentation for audits and reporting.
Management of Scholarship Programme Fund a Future (FaF)
Collaborate with BS Head Teacher to manage the Fund a Future Scholarship Programme to ensure equitable access for students from vulnerable familieswith a focus on fostering positive parent engagement.
- Work with the Head Teacher and other staff to screen children to determine eligibility for the FaF tuition assistance program, and process parent applications ensuring all required information and documentation are collected
- Assist parents in understanding and completing applications, including translation and home visits when necessary.
- Help evaluate the validity of financial need and ensure clear communication with parents.
- In collaboration with the BS Head Teacher, conduct mapping of families, ensuring that all relevant family life records are accurately captured and maintained for each student.
Management of School Kitchen
Oversee school kitchen management by supervising staff, maintaining budgets, ensuring food supply, and managing financial reporting in collaboration with the Bright School Head Teacher and TEACH Rwanda.
- Supervise kitchen staff, ensuring smooth daily operations.
- Manage kitchen expenses by developing a monthly budget to ensure efficient operation of the kitchen.
- Monitor food supply levels and address shortages as needed.
- Collaborate with the Bright School Head Teacher to oversee kitchen staff, advocate on their behalf, and make staffing decisions under the facilitation of TEACH Rwanda.
- Oversee financial aspects of the school feeding programme, ensuring effective budgeting and reporting.
- Prepare and submit monthly financial reports to the Bright School Teacher and TEACH Rwanda Business Operations Manager, detailing profits and losses through the online QuickBooks system.
- Develop a termly kitchen budget aligned with the school academic year and submit it to the TEACH Rwanda leadership team for approval.
- Purchase food from local markets and shops while ensuring professional and ethical dealings with suppliers.
- Maintain accurate records of all purchases, including logistics and expenses.
- Obtain EBM receipts where required to ensure financial accountability and compliance.
- Collect kitchen revenues from self-paying students and Bright School teachers and submit monthly requests/invoices to TEACH Rwanda for staff and Fund a Future (FaF) students’ meals.
Job Requirements
- Educational Qualification: A2 or A1 degree in Accounting or a related field.
- Technical Skills: Proficiency in computer systems, QuickBooks, word processing, and internet usage. Knowledge of office equipment and procedures, with strong organizational and time management skills.
- Analytical & Problem-Solving Skills: Ability to analyse information and resolve issues effectively. Takes proactive steps to improve processes, solve problems, and contribute to team success.
- Communication Skills: Strong verbal and written communication skills in Kinyarwanda and English.
- Attention to Detail: Ability to accurately read, enter, and update records. Prioritizes tasks effectively to meet deadlines and maintain efficiency.
- Time management: Prioritizes tasks effectively to meet deadlines and maintain efficiency.
- Responsiveness: Ability to follow up on recommendations and feedback from the school Head Teacher and TEACH Rwanda.

Salary and benefits
Salary of 347, 244 Rwf gross per month plus standard benefits such as national holidays, medical insurance, family leave, computer and internet/phone airtime provided. Open-ended contract after successful completion of 3-month probationary period. Annual performance review. 21 days paid leave.
