Position Summary
Search for Common Ground is seeking a Finance & Administration Coordinator for Rwanda office. The Finance and Administration Coordination will be responsible for effective management the finance and administration department to ensure teamwork, accuracy, timeliness, details and systems thinking.
Key Responsibilities
Roles and responsibilities include:
Coordinate with the Country Director and Leadership Management Team in developing and maintaining proactive, positive and professional relationships with partner organizations, other NGOs, clients, key government officials and institutions;
Build the capacity of partners’ in cash management, accounting recording, and financial reports as well as build the capacities of programme managers in budget management and best practices to maintain a healthy financial status;
Management of grants, budgets, and spending, accurate accounting and reporting procedures;
Review/update SFCG Rwanda’s procedures, ensuring that they comply with SFCG policies and donors’ as well as Rwanda legislation;
Oversee the management of grants and budgets, including budget projections, budget monitoring, compliance and analysis to ensure accurate spending and tracking expenditures and variances;
Develop and manage timely operational budgets;
Monitor funds, ensuring that up to date records of expenditures are kept and that they comply with budget allocations and donor requirements;
Lead the Finance team in managing and monitoring the finances of the country programme, establishing and monitoring a system of checks and balances to ensure the program’s financial stability and viability within the annual operating budget;
Monitor account payable/receivables including all balance sheet accounts and provide monthly feedback;
Ensure submission of accurate and timely quality monthly finance reports (MFR), monthly field office cash requests to HQ, where appropriate donor invoices/payment requests, quarterly financial management scorecards and other required reports to headquarters, ensuring HQ ledger matches Rwanda data;
Maintain accurate and timely donor financial reports and correspondence with donors and HQ on all financial matters;
Coordinate internal and external audit where necessary;
Review and provide input for all contracts, its fulfillment and process payments;
- Ensure compliance with financial statutory matters;
- Ensure SFCG Rwanda has a smooth functioning and efficient finance department by optimizing use of IT.
As job descriptions cannot be exhaustive, the position holder may be required to undertake other duties that are broadly in line with the above key responsibilities.
Required Qualifications: Education
- University degree in accounting, business administration or equivalent
- CPA Part 2
Experience
- A minimum of 5 years’ experience working for INGO in finance, grants management positions, including managing and supervising staff
- Experience with budgeting and reporting to multi International Donors
- Experience in handling statutory audit
Skills and Competencies
- Strong spreadsheet and data analysis advanced skills (Microsoft Office, especially Excel, any accounting software, using SAGE INTACCT would be an advantage)
- Commitment to working in a conflict transformation organization and flexible to respond to dynamic situations and ability to manage multiple activities at once
- Dynamic and flexible self-starter, with a desire to be part of a larger organization
- Dynamic and motivated leader with creative problem-solving skills
- Excellent communication skills with spoken and written skills in English to be able to establish and maintain good relationships with colleagues and partners
- Strong leadership and management skills
