JOB AT RWANDA PUBLIC PROCUREMENT AUTHORITY : Head of Central Secretariat : ( Deadline : 11 February 2019)

 

 

Job Description

1. Coordinate activities of the central secretariat ? Ensure proper reception and dispatching of correspondences.
? Supervise the filing of documents and correspondences
? Supervise the holding of indicators of letters or documents sent. ? ? Facilitate RPPA staff to access documents; 2. Receive and orient guests guidance ? Direct customers ? Provide quality customer service on every call; ? Issue visitor passes, observing and reporting any unusual or suspicious persons or activities.
? Communicate clearly and effectively with clients; ? Answer visitors/customers’ enquiries about RPPA and its products or services;
? Manage customers feedback by holding and updating customers book;
? Ensure customer feedback and inquiries are submitted to her/his supervisor for analysis and reporting or feedback where necessary;
3. Manage the outgoing documents
? Dispatch all outgoing correspondences to respective destination
? Follow up of the outgoing documents whether they have reached to their destination on time through phone calls ? Crosscheck documents submitted to the central secretariat
? Control the quality of drafted documents before handling them to final destinations ? Keep records of outgoing correspondences for easy reference
3. Organize the filing and archiving of records and documents. ? Carry out on daily basis the filing of processed documents. 4. Control the typing works submitted to the central secretariat ? Crosscheck documents submitted to the central secretariat
? Control the quality of drafted documents before handling them to final destinations

 

 




 

Job Profile

 

A1 in Secretariat Studies, Office Management, Library and Information Science or A0 in Public Administration, Administrative Sciences, Management, Sociology, Social Work, Law, Library and Information Science with 2 years of working experience

– Computer Skills;

– Interpersonal Skills;

– Organizational Skills;

– Stress Management Skills;

– Time Management Skills;

– Bookkeeping Skills;

– Fluent in Kinyarwanda, English and/ or French Knowledge of all is an advantage

Job Description

1. Ensure proper Network Administration ? Oversee file management on centralized resource or on individual workstation;
? Oversee computer security and antivirus update;
? Oversee network and server;
? Ensure network infrastructure is up and running;
? Keep an eye out for needed updates; Develop mechanisms to prevent intruders into RPPA network system
2. Ensure System Administration ? Apply operating system updates, patches, and configuration changes;
? Install and configure new hardware and softwares.
? Add, remove, or update user account information, reset passwords, etc…
? Troubleshoot any reported problems 3. Provide technical Support ? Ensure troubleshooting of computer programs;
? Answer technical queries and assist users by phone or on site 4. Ensuring Maintenance of IT equipment ? Ensure maintenance of hardware and software for all ICT equipment
? Plan and ensure implementation of preventive and curative maintenance;
? Supervise preventive maintenance activities.

 




 

Job Profile

 

A0 in Computer Science, Software Engineering, Computer, Engineering, Information and Communication Technology, Information Management System, Electronics and telecommunication Engineering or A1 in Computer Science, Software Engineering, Computer Engineering, Information and Communication Technology, Information Management System,
Electronics and Telecommunication Engineering with a Certifications in A+, N+ is required; Certifications in CCNA, MCSE, MCSD, MCTs (.NET),LAMP/WAMP Framework or MCITP are an added advantage
Key Technical Skills & Knowledge required:

– Knowledge of Rwanda’s ICT policies and strategies;

– Highly proficient with Microsoft Windows operating systems

– Proficient in Microsoft Office products

– Proficient in basic networking protocols and standards

– Knowledge of AD, Exchange, VPN, routers, and wireless internet access;

– Knowledge of circuit boards, processors, electronic equipment, and computer hardware and software, including applications and programming;

– Interpersonal Skills;

– Communication skills

– Negotiation Skills;

– Problem
– solving skills;

– Analytical skills;

– Fluent in Kinyarwanda, English and/ or French; knowledge of all is an advantage.
