JOB SUMMARY.

 

The Executive Assistant to the CEO provides full administrative support to the CEO and provides project support to the Executive and Senior Leadership team. This position serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the office of the CEO. Serving as the liaison to the senior management teams, the executive assistant will creatively exercise good judgment in a variety of situations with strong written and verbal communication, administrative and organizational results, and ability to balance competing priorities.

RESPONSIBILITIES

Spiritual Integration and Christian Witness

Promote and fulfill the mission and vision of Urwego Bank working within a Christ-centered environment that is mission-driven, community-oriented and results-driven.
Conduct daily work, make decisions and help Urwego make decisions in a way that witnesses to the presence, power, and love of Jesus and the reality of his Kingdom on earth.
Executive Support

Complete a broad variety of administrative tasks for the CEO including: managing an active calendar of appointments; creating expense reports; composing, preparing and handling confidential and non-confidential correspondences.
Arranging detailed travel plans, itineraries, agendas; and preparing meeting plans, agendas, and materials;
Research, prioritize, and follow-up issues and concerns addressed to the CEO including gathering departmental and client information, data analysis and creation of performance reports;
Develop and maintain a filing system ensuring corporate documents are safe and easily accessible by the relevant officers of the Bank;
Prioritize conflicting needs, handling matters expeditiously and proactively, and following through on projects to successful completion, often with deadline pressures;
Support and enable smooth communication with internal departments, demonstrating Christ-like hospitality; maintain credibility, trust and support with senior management staff.
Assist the CEO in the preparation of presentations, speeches, and correspondence;
Board Support and Liaison

Serve as the administrative liaison to the Board of Directors, assisting members with travel arrangements, lodging, local transportation, and meal planning as needed;
Assist Board Secretary and Legal Officer with administrative tasks related to the Board meetings as requested.




 

Qualifications and experience

 

Personal confession of faith in Jesus Christ and commitment to the mission and vision of Urwego Bank PLC;
Bachelor’s degree from a reputable university or college with a degree in administration, business law or a related field of study. Certification in administrative services will be an added advantage.
At least 3-year experience in office administration related field.
Knowledge of local and international contexts.
Knowledge of banking services will be an added advantage
Ability to maintain a professional appearance and providing a positive company image to the public.
Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to details;
Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors;
Excellent written and oral communication skills;
Highly resourceful team-player, with the ability to also be extremely effective independently;
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response;
Forward-looking thinker, who actively seeks opportunities and proposes solutions;
A university degree in any field of social sciences with at least 3 years of experience in managerial responsibilities or secretarial and legal services as an added advantage;
Full professional proficiency in spoken/written English, working proficiency of French and or Kinyarwanda is advantageous; and
Microsoft Excel skills, word, power point presentation, google docs and experience with other Microsoft Office Suite products.

JOB SUMMARY

The HR. Officer will be responsible for HR administration with specific duties that include: Recruitment and Performance Management ensuring that these are effectively and efficiently managed to deliver high-quality HR support services, enabling Urwego Bank to accomplish its mission.




 

ESSENTIAL DUTIES AND ACCOUNTABILITIES:

1. Recruitment
2. Prepare annual recruitment plan and ensure its implementation.
3. Prepare and Place all job Offers;
4. Establish and maintain a recruitment database;
5. Coordinate all recruitment activities and processes with respect to all stated bank procedures;
6. Liaise with Staff development manager to schedule an induction for new employees.
7. Liaise with IT and procurement to ensure new employees get material and handbook on their first day of work.

2. Performance Management
1. Coordinate Performance appraisal both Mid and Annual evaluations; and report accordingly.
2. Establish and maintain performance review database for new staff and the probation period;
3. Prepare performance reports after every appraisal period with a recommendation for PIP, training needs.

3. Others HR duties
1. Receive HR correspondence and draft appropriate responses.
2. Take an active role in creating a safe and healthy work environment.
3. Be contact person between bank and staff welfare committee.
4. Organize Monthly staff meeting, minutes taking and follow up on reporting.

JOB SUMMARY

 

The Manager of Risk Management and Compliance (RMC) is responsible for providing support to the Director of RMC on risk identification, analysis, measuring their likelihood and consequences, tracking them in SAT and monitoring and report on the efficiency and effectiveness of the controls put in place.

The Manager of Risk Management and Compliance is responsible for the leadership and management of both External and Internal Compliance units.

 

RESPONSIBILITIES

Risk Management

Coordinate with Business and Department heads to design, plan and implement risk management process for the bank’s operations;
Provide support on developing and implementing the Enterprise Risk Management Framework.
Identify material individual, aggregate and emerging risks that may affect the bank, assess these risks and measure the Bank’s exposure to them;
Design and carry out tests that support the risk assessment of the Bank, as well as identify, analyze, describe and estimate risks affecting the business;
Identify control gaps and, in collaboration with the relevant department, design policies and procedures to bridge the control gaps; and
Assess product, compliance, or operational risks and develop risk management strategies.
Compliance

Ensure the Bank operates with integrity and in compliance with applicable laws including anti-money laundering and combatting financing
terrorism law and regulations;
Coordinate and ensure that Urwego’s Self-Assessment Tool (SAT) is updated to reflect current changes and risks are fully mitigated.
Create SAT Binders for each Risk Category to enable Internal Compliance team to carry out the “Show Me” approach.
Plan and prioritize risks to enable the Internal Compliance team to test controls functionality.
Ensure effective monitoring of all Audit findings and Central Bank Off and On-Site Inspection recommendations including reports to
appropriate authorities and implementation of recommendations within set timelines;
Monitor control effectiveness in the business processes, comparing residual risks with target risks; design and implement risk reduction strategies
Disseminate written policies and procedures related to compliance activities.
File appropriate compliance reports with regulatory bodies.
Evaluate testing procedures to meet the specifications of environmental monitoring programs.
Reporting

Prepare monthly and quarterly reports on both External and Internal Compliance activities.
Prepare annual Compliance plan in order to ensure they are concise and informative, effectively communicate the findings and
recommendations to the branch/department, division leaders and Director of Risk Management and Compliance;
Assist in preparation of Risk Management and Compliance report for the Executive Team and Board Audit Committee as a backup for the
Head of Audit;
Communicate immediately all incidents to the Director of Risk Management and Compliance;
General Duties
Assist in developing appropriate Risk Management methodology/procedures and tools;
Create and sustain mutually beneficial relationships by ensuring business owners are not disappointed, and/or confused with high standard service;
Willingness to take an extra mile for the benefit of others and participate in staff-related social activities;
Coordinate work, activities or departments, acting as the primary client liaison at the field, seeking advice where appropriate;
Contributes positively to professional development and knowledge sharing in the department;
Work closely with the entire Urwego team, backing up the Director of Risk Management and Compliance in absentia;
All appropriate duties as may be assigned from time to time by Director of Risk Management and Compliance

 



 

Qualifications and Experience:

 

Personal confession of faith in Jesus Christ and commitment to the mission and vision of Urwego Bank PLC;
Sound understanding of risk management and compliance concepts, measures, and regulatory frameworks.
Detailed knowledge of the three lines of defense model, and regulatory expectations of risk governance in a bank.
At least 3 years’ experience working in a control, supervisory or risk management and compliance role within a regulated financial
institution. Prior experience in managing and applying operational risk frameworks would be an advantage.
Strong PowerPoint and Excel skills.
Strong analytical skills, and the ability to write clear and incisive briefing materials for management and other stakeholders.
Excellent written and spoken English, and the ability to communicate and challenge effectively at all levels.
Strong interpersonal skills and an ability to influence and effect change, in the second line of defense role.
Eagerness and ability to learn about unfamiliar risk management and compliance areas, and to apply new concepts and tools in your work
Bachelor’s degree in relevant subjects like economics, finance/accounting or risk management and compliance preferred
Personal skills and abilities

Ability to consolidate, prepare and submit reports and correspondence on time
Ability to deliver business goals and own performance targets.
Ability to work as part of a team to achieve departmental objectives
Must be a quick thinker and able to work occasionally for extended hours
Should be able to work with minimum supervision while delivering expected output.
