Office Coordinator!

 

 

The Office Coordinator will oversee the effective and efficient handling of the Welcome & Information Centre and provide reliable and timely administrative support to the AIMS Rwanda management team.

Reporting to the Chief Operating Officer, you will provide confidential administrative and clerical support for AIMS Rwanda, including managing the schedule/calendar, screening and handling telephone communications, greeting and directing visitors, and dealing with administrative problems and inquiries as appropriate, serves as a primary point of direct administrative contact and liaison with all external partners, agencies and or members of the public who visit or otherwise contact AIMS Rwanda, gather, enter, and/or update data to maintain Centre records and databases, as appropriate, establish and maintain files (outgoing and incoming) and records for the Centre, compose and prepare written documentation and correspondence for the Centre, screen and evaluate incoming and outgoing correspondence and prepare responses as appropriate and assist in the coordination, supervision, and completion of special projects and/or assignments as appropriate.

 

 

As the ideal candidate, you will ensure petty cash forms are properly filled prior to undertaking any expense, develop petty cash report and replenish petty cash as and when required and inform staff about the petty cash operations process and requirements.

 

 

This is a full-time opportunity based at AIMS Rwanda Centre in Kigali.

 

 

Do you have what we need?

 

A Bachelor’s degree in business related studies
At least 3 years of experience that is directly related to the duties and responsibilities specified
Functionally Bilingual (English-French)
Strong proficiency with Microsoft Office with particular strength using Excel, Word and PowerPoint
Exceptional interpersonal skills with an ability to build and manage a variety of internal and external relationships
Self-directed with excellent organizational skills, attention to detail and an ability to meet deadlines
Articulate communication skills, both verbal and written, to disseminate relevant information to a wide variety of stakeholders

Finance Manager!

 

 

The Finance Manager will provide support and service to the COO by carrying out financial control and support functions within the direction and parameters set by Vice President Operations / Chief Financial Officer. The Finance Manager’s main responsibility is the financial management of the AIMS Rwanda Centre in accordance with AIMS-NEI procedures and practices.

 

 

 

Reporting to the Chief Operating Officer, the Finance Manager will manage the funds and financial assets of the Centre, ensuring compliance with AIMS-NEI financial procedures, establishing, and maintaining internal control practices, prepare accurately the monthly financial and narrative reports according to stated deadlines, ensuring compliance to the AIMS-NEI Chart of Accounts and with monthly accounting checklists, performing balance sheet reconciliation’s and ensuring complete supporting documentation and files, prepare the monthly/quarterly/semi-annual and annual budget versus actuals analysis to inform decision-making and budget readjustment, prepare forecasting data on a monthly basis in support of Centre cash request, assist budget holders to develop budgets for Operations and enter the budget data into required financial system. Ensure that all budgets are approved on time and before expenditures can occur and check and validate all expenses incurred by the Centre.

 

The Finance Manager will also train, support and advice Centre staff in financial and administrative matters, supported by Global Secretariat training programs for non-finance staff, ensure the production of monthly, quarterly and annual financial and narrative reports for the Centre Management Team and Centre Advisory Council and the Global Secretariat, review, provide feedback and get COO approval of the finance sections of reports produced by Program Managers for Donors, provide insightful information and expectations to senior executives to aid in long-term and short-term decision, develop strategies and plans for the long-term financial goals of the Centre and review financial data and prepare monthly/quarterly/semi-annual and annual reports in a timely manner.

 

As the ideal candidate, you will support COO in the provision of guidelines and tools for staff to meet targets that are set, support the staff to put in place and manage a systematic and sustainable staff development and learning approach, manage the Centre relationship with social security and tax recovery institutions in Rwanda in collaboration with COO and Global Secretariat, supervise the proper implementation of the AIMS financial/Administrative filing system and ensure that staff are adequately trained to manage their own unit filing system according to the AIMS-NEI guidelines.

 

In addition, the Finance Manager will ensure the effective and efficient administration of the Centre archives (physical and online), maintain accurate registers of the assets and property and organize quarterly physical stock takes and check all fixed asset movements and disposals in order to reconcile update.

Facilities Manager!

 

Reporting to the Chief Operating Officer, the AIMS Rwanda Centre Facilities Manager will primarily be responsible for making sure that buildings, properties, and their services meet the needs of the people that work or live in them. S/He is accountable for services such as cleaning, security, and parking, to make sure the surrounding environment is in a suitable condition to work.

 

As the Facilities Manager, you will manage, supervise and coordinate the work of contractors on the AIMS facilities, calculate and compare costs for required goods or services on the AIMS facilities to achieve maximum value for money, establish plans for future development in line with AIMS Rwanda’s strategic objectives, manage and lead change to ensure minimum disruption to core activities, direct, coordinate and plan essential services such as security, facilities maintenance, cleaning, waste disposal and recycling, ensure that AIMS Rwanda’s facilities comply with local legislation and Higher Education Council’s standards and plan best allocation and utilization of space and resources for new buildings, or re-organizing of current premises.

 

As the ideal candidate, you will use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement, develop and Implement Centre Business Continuity Plan, Standards Operating Procedures and Contingency Plans for AIMS, conduct thorough assessment and develop designs, plans and Bills of Quantities to improve existing and/or new infrastructures/facilities, participate in the establishment of new Centre infrastructures and facilities that meet national requirements, regulations, and standards and ensure cleanliness and proper management of building and beddings.

Masters’ Degree in Civil Engineering/Building services engineering/Construction
5+ years of experience in building management, facilities management, and construction activities

Bi-lingual (English/Kinyarwanda). Must be able to speak and write Kinyarwanda
Knowledge of French is an asset

Communications Manager!

 

 

The AIMS Rwanda Centre Communications Manager will primarily be responsible for contributing to the development of the Centre’s internal and external communication strategy with heavy focus on raising the profile of and connecting the AIMS Rwanda Centre to the public. S/He is responsible for the quality, frequency and delivery of AIMS Rwanda’s communications with a range of stakeholders and audiences (Government Institutions, industry stakeholders and partners, the general public) via a range of print, broadcast and digital formats including social media.

 

In this role and reporting to the Centre President, AIMS Rwanda, the Communications Manager will create a practical and measurable communications and public engagement strategy for the AIMS Rwanda Centre, create and implement an internal communication strategy for AIMS Rwanda including management of newsletters, ensure that AIMS Rwanda communication outputs are of a high standard, respond to the needs of the target audience, and are delivered within agreed budget and timelines, advise AIMS Rwanda staff regarding communications with stakeholders and develop Key Messages.

 

As the ideal candidate, you will design and implement the AIMS Rwanda’s public engagement programs and ensure perfect alignment with the Centre Strategy, create and maintain media list and regularly pitch stories to local and regional media, engage Media on a regular basis on specific activities and events, manage media for all AIMS Rwanda events and programs and design and develop content for and disseminate the Centre Newsletter.
