Title: Logistics Administration Assistant

 

Project: USAID Rwanda Soma Umenye

 

Project Summary

 

USAID Rwanda Soma Umenye will work to improve reading outcomes in Kinyarwanda for at least 1 million children in public and government-aided schools in Rwanda by the end of Grade 3. Specifically, USAID Rwanda Soma Umenye will target all children in Grades 1-3 attending public and government-aided schools nationwide and ensure that at least 70 percent of students are able to read grade-level text with fluency and comprehension by the end of Grade 3.

 

Purpose of Assignment

 

The purpose of the assignment is to review and reconcile data regarding distribution of commodities. Specifically, these data sources include the proofs of delivery (delivery notes) submitted by multiple distributors for the distribution of commodities and materials to schools in Rwanda including, but not limited to, bookshelves, textbooks, classroom readers, and other teaching and learning materials. Information received from distributors must be reconciled with project procurement records for the actual quantities intended for distribution. The Logistics Administration Assistant will also scan and file the reconciled delivery notes and other supporting documents into the procurement folders as per instruction provided by the project’s Procurement and Logistics Director or his designee.

 

 




 

Principal Duties and Responsibilities

 

Sort the received delivery notes in accordance to the material distributed and the corresponding procurement file(s).
Reconcile the received delivery notes with the procurement records for the specific school.
Record and report immediately any discrepancies found between any delivery note and the procurement records.
Scan the reconciled delivery notes and label them with the procurement file number and the school name.
Save the scanned reconciled delivery notes in respective subfolders.
Arrange all scanned and reconciled delivery notes in physical file folders.
If necessary, reconcile actual distribution data with warehouse inventory records and/or verification reports from project district advisors.
Assist with records management of procurement and logistics files.
Any other tasks designed by the Procurement and Logistics Director and related to the distribution and supply chain of education materials.
While reconciling the delivery notes, the Logistics Administration Assistant will ensure that data are reconciled with accuracy and are complete and within the specified timeframe. She/he will maintain data integrity and keep the necessary information confidential. The Distribution Assistant will contribute to team effort by accomplishing related results as needed.

 

Job Qualifications

 

Computer literate in MS office, MS Excel in particular
Prior experience with data entry required
Prior experience with USAID-funded projects if preferred.
University graduate required; degree in logistics, supply chain or any other related field a plus.

Location of Assignment

 

The location of assignment is the Soma Umenye Office in Kigali, Rwanda. No travel is required for this assignment.

The Logistics Administration Assistant will report to and be supervised by the Procurement & Logistics Director or his designee.
