How can you make a difference?

This position was created to provide support to the Deputy Representative Operations and Administration unit.

The Administrative Assistant supports the Deputy Representative (Operations) by providing a variety of standardized tasks in support of the Operations units. These tasks require thorough knowledge of UNICEF’s administrative and financial procedures, processes, and policies. The Administrative Assistant will be expected to project the image of a credible and reliable service provider which is imperative to the quality of process delivery, and the impact of work directly reflects on the overall reputation of the team in terms of responsiveness to client needs and quality of process execution.

The Administrative Assistant works in close collaboration with a range of staff in the UNICEF Rwanda Country Office, external partners, and counterparts in supporting the programme to deliver.

Key Expected Results

Support to Operations Oversight and Risk Control

 Maintain and support Operations Team’s Actions Plans to include follow-ups, monitoring, and quality assurance for the implementation of:

  1. Annual Management Plan
  2. Internal Control Self-Assessment Action Plan
  3. Peer Review or Audit Action Plans
  4. PSEA Action Plan
  5. Value for Money Action Plan
  6. Support the Office redesign and deployment process.

Travel

  • Provides international travel assistance to staff for travel arrangements and entitlements based on the organization’s rules and policies. Liaises with relevant travel agencies to ensure that the organization obtains the best service and price for all travel.
  • Briefs/de-briefs staff members on issues relating to related administrative matters such as visas (travels out of Rwanda), security clearance, documentation procedures for international travels.
  • Extracts, inputs, maintains, and verifies the correctness of travel records in the organization’s travel system to ensure accurate transactions related to travel costs and staff travel.
  • Assist in the preparation of budgets for travel costs and maintain travel budgetary control records.

General Administrative Duties

  • Maintain Operation Team Enterprise Content Management (ECM) system
  • Maintaining DRO daily agenda and external contacts
  • Maintain Operations Section AWP and Operations Meetings
  • Supports Heads of Operations Units as needed.

To qualify as an advocate for every child you will have…

  • Completion of secondary education, preferably supplemented by technical or university courses in auditing, administrative or financial management.
  • A minimum of 5 years of progressively responsible administrative, financial, or quality assurance work experience is required.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Fluency in English is required. Knowledge of another official UN language (French) or a local language is an asset.
