Supply of IT Equipment’s at Society for Family Health: (Deadline: 19 March 2021)

Preamble

Society for Family Health (SFH), Rwanda is a local non-governmental organization (NGO) registered under the laws of Rwanda, and a network member of Population Services International (PSI) established in 2012 exclusively for social marketing purposes, with a primary focus on public health and is currently located on King Faisal Hospital Road, Kacyiru; Opposite Radio Voice of Hope.

SFH seeks to engage different suppliers for different items as per the specifications below: Bidders are encouraged to respond with their best price initially, as there may not be an opportunity to submit revised bids.  All offers should be on a fixed prices basis and should be submitted by email on tenders@sfhrwanda.org.

The materials ordered will be charged from different donor accounts based on the need for a fixed timeline of one year.

BID SUBMISSION GUIDELINES

 TERMS OF AWARDS

(a) All awards are subject to the availability of adequate funds from SFH Rwanda and the receipt of all required approval from SFH Rwanda and the donors.

(b) Upon receipt of SFH Rwanda and/or the indenter’s approval of the recommended award, to the extent required, SFH Rwanda will send a Notice of Award to the winning bidder and will inform unsuccessful bidders that they have not been selected.

NOTIFICATION OF TENDER AWARD

1. The bidder whose proposal attains the highest score, in accordance with the evaluation criteria in the present request for proposals shall be selected for the award, subject to the satisfactory conclusion of negotiations if deemed necessary.
2. The procuring entity shall notify the successful bidder of its selection results and at the same time inform other unsuccessful bidders of the decision. In the absence of a challenge by any other bidders within seven (7) days of the notice, the contract shall be signed by both parties.

PAYMENT TERMS

SFH Rwanda undertakes to pay 100% of the invoice after delivery of goods with an invoice and delivery note, based on its satisfaction and this will be paid within a maximum of 15 working days Payment will be made electronically to the provided bank account.

EVALUATION CRITERIA

SUBMIT ADMINISTRATIVE DOCUMENTS (A MUST AND A COMPANY MISSING ANY DOCUMENT WILL BE DISQUALIFIED)

• Copy of Business Registration Certificate or Certificate of domestic Company Registration from RDB allowing the company to Supply the above items.
• Copy of VAT certificate if your company is registered to Pay taxes
• Valid tax clearance certificate (attestation de non-creance) from Rwanda Revenue Authority (RRA)

TECHNICAL REQUIREMENTS:

a)      All IT Equipment suppliers should provide a written guarantee of the materials at least for one year (In case of technical form factor damage, the supplier will replace the damaged IT material with a new one) all supplies should be genuine NOT Refurbished.

b)      Submit a catalog or photo of each item to be supplied for comparison.

c)      Specify the delivery time in Business days for the total quantity ordered after approval of the sample?

Financially: Submit prices with delivery at SFH warehouse, Kacyiru with the following information:

• Name of your company with Address & telephone number of your company
• Signature of the person submitting quote with Official company stamp (if any)
• Company’s VAT number/Where applicable and VAT (18%) should be calculated separately.
• Exact specifications and details of items being quoted

NOTE: The awarding will be based on the best offer scored both (Technically and financially) on each Item submitted.

This is open for national suppliers registered in Rwanda to do business.
