Primary Purpose:
This position is responsible for providing high-level administrative support to the
Rwanda Country Representative. S/he also supports other RSC Africa admin focused strategic initiatives with administrative, research, and other support as needed.
Essential Duties:
- Provides the Country Representative with administrative and logistical support such as logistics for events, meetings, and travel as needed.
- Anticipates needs and is highly responsive to direct and anticipated requests, providing fast, accurate, and thoughtful replies to requests and following up on action items on behalf of the Country Representative.
- Follow-up with relevant staff to ensure appropriate briefing material is completed in anticipation of all events
- Works with the Logistics unit to ensure Country Representative and other important or sensitive travel is well-coordinated ensuring very clear schedules and well-articulated itineraries.
- Supports Country Representative to complete expense reports and ensuring that they are submitted on time in compliance with the Finance Policies and Procedures.
- Manages Country Representative’s calendar, formats information for internal and external communication – memos, emails, presentations, reports, etc.
- Organizes and prioritizes large volumes of information and calls and drafts written responses or replies by phone or e-mail when necessary. Provides response to regularly occurring requests for information.
- Maintains shared calendars and ensures action item holders are responsive to key deadlines/milestones
- Organizes key leadership team meetings including meeting logistics, agenda and materials preparation and serves as the note-taker ensuring that information is collected and summarized for easy comprehension of critical stakeholders.
- Attend meetings with the Country Representative as may be required, take meeting notes, and provide feedback as needed
- Collaborates with other stakeholders to support CWS Africa’s strategic initiatives, including growth objectives, with research, analysis, and administrative tasks
- Conduct research upon requests and present findings
- Supports admin department in the coordination, organization and facilitation of CWS-wide events and initiatives, as assigned.
- Run point on hosting of high level visitors to the Kigali office and coordinate all logistics as required in conjunction with the Administrative Supervisor
- Performs other duties which are assigned and developed to improve the operations of CWS Africa.
Qualifications:
Experience:
- Minimum of 4 years of relevant work experience supporting senior leadership preferably in a non-profit environment
- Direct experience in managing sensitive and confidential matters with a high level of professionalism
- Experience with event planning, coordinating travel logistics, and managing calendars preferred
- Previous experience working with an International NGO is an added advantage

Primary Purpose
This position is primarily responsible for the coordination and oversight of CWS Africa IT Support; this includes the responsibility of managing all procedures related to the receipt, categorization, prioritization, and resolution of end-user IT-related requests, including the monitoring, tracking, and coordination of helpdesk functions, field circuit rides management and supervising Information Technology support staff. Essential Duties:
- Achieves and maintains a thorough knowledge and adherence to established RSC Africa, CWS/IRP, DOS/PRM, and USCIS policies and procedures regarding ICT systems management for CWS/RSC Africa.
- Members of the IT supervisory and leadership team are responsible for ensuring compliance with the organization’s information system security framework and other security controls, policies, and procedures in areas of their operation
- IT Support Coordination
- Maintenance of the organization’s ICT resources.
- Monitor, control, and support IT service delivery; ensuring systems, policies and procedures are in place and followed.
- Service Desk management and end users IT support; assisting individual staff with troubleshooting and resolving computer software and hardware problems.
- Owner of the Incident, Request, and Escalation processes, ensuring high levels of performance are achieved.
- Accurate reporting on IT service performance and proactively establishing service improvement activities.
- Take ownership of the escalation process of major incidents to ensuring coordination of resolving parties, and effective communication to stakeholders
- Accountable for the quality of Service and performance.
- Responsible for maintaining a high level of customer/client satisfaction and finding ways to measure and improve it.
- Analyzing Service Desk data to identify technology needs.
- Assists with computer equipment and software budgeting, purchasing and installation.
- Upholds the Service desk escalation process through 1st and 2nd line IT support or as per the set escalation matrix.
- Project Management
- Champion for Service and Support in projects and develop a strong understanding of projects impacting IT service area and ensuring service impact is minimized and agreed.
- Follow up with the Project teams to ensure the set project controls are not breached.
- Provide regular updates to the project stakeholders on the progress.
- Manage and control the project risks to reduce the impact on the project delivery.
- IT Support Staff Supervision
- Identify the training needs of the IT Support teams and plan for their training.
- Mentor and coach new IT Support staff as they are onboarded into the organization.
- Conduct performance reviews and monitoring time and attendance.
- Analyzing helpdesk data to identify technology needs and staff IT training needs then plans and delivers IT training to information systems users including new hires IT orientation in coordination with the Training Department.
- Circuit Rides IT Support Management
- Travels to remote locations for monitoring of IT equipment and client support needs assessment.
- Coordinate with the respective departments on Circuit Ride IT staffing and support.
- Support and monitor the DINs installation Project across all remote processing locations in Africa.
- Collaboration
- Works closely with the Property department to ensure that they keep an updated IT equipment inventory with functional IT equipment to support users.
- Liaises with RPC IT staff in Washington DC on START administration, circuit rides support, security compliance and providing any other remote technical assistance.
- Liases with CWS Global IT Staff on staff and cross cutting systems support.
- Collaborates with and supports the sub office IT staff in their tasks and various projects.
- Working with the other IT units’ specialists on various tasks and projects and when needed, covers the responsibilities of the other IT Staff.
Qualifications
Education & Certifications:

- Bachelor’s degree in information technology related field is required. – Other advanced professional training in IT related field is required.
Licensing/Certification:

- Industry certifications in IT or areas of networking or systems administration is required. – ITIL certification is an added advantage.
Experience:

- 8 years of paid work experience is required. – 6 years of experience in IT related field is required. – 3 years of experience in IT staff and systems support preferably in a Windows based environment, is preferred. – Experience in managing a team and major IT projects is a plus.

Primary Purpose:
This position is primarily responsible for the coordination and follow-up of logistics for all CWS travel, as well as preparing travel itineraries of official CWS staff travel in accordance with the CWS standard operating procedures within Sub Sahara Africa and Internationally.
Essential Duties:
Travel and Logistics
- Requests for domestic and international flight schedules, itineraries, bookings, and tickets from local travel agents for efficient and cost effective travel.
- Works with Programs Management and other travelers to plan and execute all confirmed travel.
- Works with relevant embassies to obtain visas for staff travel, makes hotel reservations when required, coordinates ground transportation and other travel arrangements for CWS staff and visitors.
- Prepares travel authorizations for all travelling staff.
- Maintains updated shared logistics resources.
- Regularly reviews all issues raised in the issue logs after travel is complete, makes follow up with the vendors and updates the log with feedback.
- Works directly with Logistics officers in other country offices on required logistics work.
- Conducts site assessments in processing locations when required.
Budgeting
- Maintains updated travel costs for all regions.
- Participates in annual travel budget costing and preparation.
- Monitors travel budget in the assigned locations and reports any additional costs.
Vendor Management
- Maintains a tracking system for all vendor invoices across the sub offices to ensures they are captured and processed in a timely manner.
- Use ERP system to raise requisitions, review payments and reconcile vendors.
- Works closely with Procurement and Finance to ensure vendor payments are processed as per policy.
- Conducts vendor reconciliations on a quarterly basis.
- Regularly reviews travel expenses while renegotiating with vendors for competitive rates.
- Reviews CWS trip reports and communicates follow-up items to the Administration Supervisor.
- Reviews monthly invoices for local taxi service providers, ensures correct rates are being charged and also identifies local versus regional travel expenses.
- Performs other duties that may be assigned to ensure the logistical support of operations related to official travel and other program objectives
- Monitors time and attendance records for the staff under their supervision.
- Ensure direct reports are accessing and using their benefits appropriately including leave
Fleet
- Manages the RSC Africa motor pool and advises on motor vehicle needs such as disposal or new purchases.
- Periodic reporting on Fleet Management activities using established fleet management system.
- Coordinates fleet management functions and ensuring compliance with the relevant SOPs.
Qualifications:
Experience:
• Four (4) years of paid work experience is required.
• Supervisory experience is preferred.
• Administrative experience is preferred.
• Knowledge in Amadeus booking tool is preferred.
• Fleet management and vehicle maintenance experience preferred.
