The Position

The External Relations consultant will serve as administrative support to the marketing team while the External Relations Officer is away on assignment for a duration of 5 months, with the possibility of extension. This external relations consultant is responsible for ensuring that all current & prospective Akilah Partners / Campus visitors have a positive, informative, and productive time during their visit to Akilah Institute Campus. The consultant is also part of a team responsible for ensuring donor-relevant content (specifically impact and success stories) are captured and communicated effectively and consistently.

Roles and responsibilities:

Campus Visits:
With the help of the Marketing & Communications Associate (MCA), the External Relations Consultant will plan & coordinate all campus visit tours
Support the Marketing & Communications Associate in receiving donors and guests, the support provided includes:
Follow through on the various stages for visits including but not limited to conducting pre-visit research, meeting room/place set up & any post-visit report/ communication going out to both the internal team & the campus visitors where required
Work in collaboration with other departments where necessary, ensuring visits are communicated to relevant stakeholders & where necessary their calendars are booked, they receive a brief bio on the expected visitor and any other relevant information
Responsible for all administrative duties related to donor and guests visits i.e. reporting, meeting room arrangements, timely & engaging email communications etc

Donor Engagement & Marketing:

In coordination with the MCA, maintain short- and long-term move management strategies to cultivate campus visitors and post-visit.
Active participation in other related marketing efforts as assigned.

External Outreach:

In collaboration with MCA research and propose opportunities for collaboration with local organizations and institutions to support Akilah’s mission and institutional objectives.
In collaboration with the Marketing Team and Director of Partnerships, identify external meetings/events to attend & advise the marketing team on the potential opportunities, where approved represent Akilah at these events in an effort to raise Akilah’s visibility and branding.

Other Duties:

Campus tours for all new Akilah employees & consultants on the new hires 1st day as communicated by the HR team
Assist in the planning and implementation of campus and external events, as assigned by MCA
Maintain active participation in all team, supervisor, and other assigned meetings.
Utilize Akilah tools/resources (Asana, Slack, etc.) to manage projects and communicate with team members.
Track and effectively communicate regular progress reports to the manager, as assigned.
Any other duties as assigned.

Desired skills and qualification

Bachelor’s degree in Marketing, Communications or a related field
Excitement about working in a vibrant and evolving startup environment.
Extraordinarily resilient, positive and proactive character.
Strong organizational and time management skills with exceptional attention to detail.
Knowledge of Sales Force, Asana and Google Team Drive
Ability to organize and prioritize multiple projects at once
Ability to work as part of a team and also take initiative on individual tasks with minimal oversight; Excellent interpersonal skills
Ability to present information concisely and effectively, both verbally and in writing
Ability to represent the Institute in external settings and with key supporters in a professional manner
The demonstrated maturity and professionalism to be able to handle and respect sensitive and confidential information both during and after the employment period
